Week-end Work day Exceptions in EPM

I have tried to change the working time in the project calendar - performed
the ms project tools procedure to do so. The problem is when I did, it
changed my entire project plan because it assumes that these working days are
valid for the entire plan so it adjusted the start and end dates for my
tasks. I want to specifically change the working time for a few tasks – not
all of them – and this is where I have a problem because I can’t seem to do
this.

Can someone help?

Instead of applying the new custom calendar as the Project calendar (via
Project - Project Information), you need to specify the new calendar as a
Task Calendar on the specific tasks you want to reschedule. Do accomplish
this, do the following:

1. Double-click the name of a task.
2. In the Task Information dialog, click the Advanced tab.
3. In the Calendar pick list, choose the custom calendar.
4. Select the "Scheduling ignores resource calendars" option.
5. Click the OK button.

If you have an entire block of tasks you want to reschedule, you can select
all of the tasks as a group, and then click Project - Task Information.
Then do steps #2-5 in the Multiple Task Information dialog. Also, don't
forget to set your Project Calendar back to the original calendar you had
applied before you changed it to the custom calendar. Hope this helps.

Hi Dale,

Thanks for the info. I'm a bit confused though as the post on the same
topic above has server admin instructions to do this vs these instructions -
we do use server 2007 and i guess i'm wondering if this is an admin thing or
an individual user thing to do...please advise.

No Longer Baffled --

Assuming that the default settings are still in place for your Project
Server 2007 system, only your Project Server administrator can create custom
enterprise calendars. On the other hand, once the enterprise calendars are
created, your PMs can assign a custom calendar as a Task Calendar in any
project. So, are you the Project Server administrator, or not? Let us
know.

Hi Dale,

Sorry for any confusion. I am one of the administrators and we have set s
base calendar that does not currently include week-end days. What I'm
gathering from your response is though that since we do have a calendar
started, pm's can alter per your instructions...correct? Just want to make
sure we admins do not need to alter on their behalf.

Now I'm the one who is confused. Do you or do you not have a 7x8 calendar
that includes weekends as working days? If not, here are the EXACT steps
you need to follow to create one:

1. Log into PWA with Administrator permissions.
2. Click Server Settings - Enterprise Calendars.
3. Click the name of the Base calendar you want to copy (probably Standard)
and then click the Copy Calendar button.
4. In the Copy Calendar dialog, enter a name for the calendar, such as 7x8
or 7-Day Working Schedule and then click the OK button.
5. Select your new Base calendar and click the Edit Calendar button.

The system launches Project Professional 2007, logs you into Project Server,
and displays the Change Working Time dialog for the new Base calendar.

6. Click the Work Weeks tab.
7. Select the [Default] item and then click the Details button.
8. Using the Control key, select Sunday and Saturday in the list of days,
and then select the "Set day(s) to these specific working times" option.
9. In the time grid below the option you just selected, enter the following
From and To times (or your own company's working schedule):

From To
8:00 AM 12:00 PM
1:00 PM 5:00 PM

10. After you enter the 5:00 PM time in the time grid, press the Enter key
on your keyboard to "lock in" the time you just entered.
11. Click the OK button to close the Details dialog.
12. Click the OK buton to close the Change Working Time dialog.

The reason YOU need to do these steps (as the Project Server administrator)
is because only YOU can create or edit Base calendars. Your PMs cannot do
this. Also, given your newness to this tool and its various complexities, I
would strongly recommend you purchase one or more of our company's books on
Project Server 2007. If you owned our Configuring and Administering book,
for example, the book would have taught you how to create custom enterprise
Calendars. You can get our books at:
