Project plan offline

Since PM are in different countries I am taking the file
offline & emailing the project plan. They make the
required changes on the same file & send back which I put
back online. I am facing a problem wherein PM's are
changing the existing file on their PC to the
filename.Published & resending. Please advise if this will
affect the system? Urgent reply will be appreciated.
