Protected Documents

R

Rachael

I am creating a number of word documents and am protecting them to allow
other people to only edit certain sections.

I want to be able to allow other people to insert images into the document
however at this stage am having trouble working out what the easiest way to
do this is.

I have found that probably a text box is going to be the best option but
that means I have to say how big the image can be because if you insert a
picture it looks like it cannot be resized at all. If people have vertical
images or horizontal images that might be a problem depending on the text box
I have inserted.

Does anyone have any other ideas?

Hi Rachael,

The 'easiest' way would be to put a section break before and after the location where you want the users to be able to insert the
picture, then leave that section unprotected when you protect the document. Do note, though, that this also means they can type
freely in the same space - which you may or may not see as a good thing.

Cheers

Thanks for your reply!

I entered a continuous section break however it still looks like I am unable
resize images once they are instered into a document even though the section
they are going into is not protected.

What I really would like to be able to do is insert an image into an
unprotected section and resize the image to fit into that section.

Hi Rachael:

I am confused? You can resize any image in Word by simply dragging a
corner. Please tell me exactly how you are inserting the image?

It's not a great idea to re-size in the document, but you can certainly do
it! It is better to get it to the correct size in a graphics application
before putting it into Word (and to show the other users how to do that...)

But it's certainly possible, and depending on what they are using I for, the
results are quite good.

When you drag a corner (or use the Format>Picture...) dialog, you change
only the "zoom percentage" of the image, you do not alter its file size.

This works well if you are printing: Word will display a low-res version on
the screen, and send a full-res version to the printer. But it means you
keep the whole image file within the document, which makes emailing the
result a challenge :)

Cheers

Hi Rachael:

Well, I just tried it: you don't need the text box. You can re-size images
at will in the unprotected section.

However, you DO need to protect ONLY the sections in which you do NOT want
changes.

That means you must surround each area where you want an image to go with
section breaks. Usually, we use "Continuous" sections breaks that do not
cause a page-break.

Then you protect the document for Forms and click the Sections button.

De-select the sections that you want to put images in.

You will then be able to work as normal with images in the unprotected
sections.

Hope this helps

Hi John,

Thanks for your response.

We are using Word 2003 and I cannot find where you can unprotect certain
sections in a document. From what I can see I need to highlight the areas to
unprotect and click allow everyone to edit. There is no where that says
unprotect certain sections.
I tried the way you said in Word 2002 and was still unable to move and
resize the images in the unprotected sections.

I must still be doing something wrong!

Yeah. You're using Word on the PC! The instructions I sent you were for
Word on the Mac, because you are posting in the Macintosh group :)

On the PC, in Tools>Protect Document you get a menu. Hunt around and you
will see that it has a second button labelled "Options" or something. In
there, you get to check which sections you want to protect. The ones you do
not check are "unprotected".

If when you start t hey are all checked (the default) uncheck the ones you
don't want protected.

1) Make a document with some dummy text in it.

2) Put two continuous section breaks in it, a few paragraphs apart.

3) Protect sections 1 and 3.

4) You will be able to do anything you like to the graphics in the middle
bit, which is section 2.

I need to be able to insert images into a protected document but have found
from other forum topics that this is not possible even though the section
the
images are going into is unprotected.

After a little searching myself I am able to insert imgaes into an
unprotected section of a protected document provided I insert a text box and
unprotect that.
You are still unable to resize the images but at least they can be
insterted.

Is this the easiest and best way? Or is there another way?

:

But it's certainly possible, and depending on what they are using I for,
the
results are quite good.

Cheers

Thanks for your reply!

I entered a continuous section break however it still looks like I am
unable
resize images once they are instered into a document even though the
section
they are going into is not protected.

What I really would like to be able to do is insert an image into an
unprotected section and resize the image to fit into that section.

Hi Rachael,

The 'easiest' way would be to put a section break before and after the
location where you want the users to be able to insert the
picture, then leave that section unprotected when you protect the
document.
Do
note, though, that this also means they can type
freely in the same space - which you may or may not see as a good thing.

-------------------------

I am creating a number of word documents and am protecting them to allow
other people to only edit certain sections.

I want to be able to allow other people to insert images into the
document
however at this stage am having trouble working out what the easiest way
to
do this is.

I have found that probably a text box is going to be the best option but
that means I have to say how big the image can be because if you insert a
picture it looks like it cannot be resized at all. If people have
vertical
images or horizontal images that might be a problem depending on the text
box
I have inserted.

Does anyone have any other ideas?

Yeah, we are (well, we never left...) . But you didn't tell her how to do
it, and she doesn't know, so she couldn't :)

Hmm,

Seems we're back to where I originally responded - and that's before we knew
the OP isn't using a Mac.

Hi John,

From my reading of Rachael's various posts, it seemed she understood how to create an unprotected section, but then somehow got hung
up on an idea emanating from somewhere else that the image had to be inserted into a text box.

Cheers
