[PS2007] - Resource utilization while accepting resource update

Hi,

My PM would like to know that when he accepts an update from his team
member, how would he be able to determine whether the extra time for a task
will be affecting another project where the team member is also involved in?
The preview function only show how the project will be affected by the update
but not the other project. What is the best way to flag out this information?

The Resource Availability view is calculated off of planned
utilization - planned work subtracted from capacity. To see the
impact of actual work, you could use the Resource Usage view, but that
will only show summary hours from other plans. However, that might be
sufficient.

The other way to do it would be to use a Data Analysis report that
reports planned and actual work by each resource on each project, at
the Project, Summary or Task level.

Hi Mark,

Thanks for your prompt reply.

The methods that you suggested are after PM has accepted the updates from
team member. Is there other method to preview the changes (whether team
member data affects other projects) before the PM accepts it? If that is not
possible, is there a way to setup traffic light indicator to highlight the
resource over-allocation?

You can use the resource usage view to show over allocations. The tool
automatically highlights resources in red if they are over allocated on a
day by day bases.

Make sure to leave the "Load Summary Resource Assignments" check box enabled
when logging into Project Professional. This will show the resources work
across all projects on the server.
