In a project plan in Microsoft Project 2002, when you formally request a
status update on one or more tasks by clicking Collaborate - Request
Progress Information, the following will happen:
1. The resources affected by this request will receive an e-mail to notify
them of your request
2. Microsoft Project 2002 will place an indicator in the Indicators column
showing that you are awaiting a task update (the indicator will be a yellow
envelope with a small clock and a purple question mark symbol below the
envelope)
3. Project Web Access will place a purple question mark indicator in the
Indicators column of the Tasks page for the tasks of each affected resource
What you are asking your resources to do is to immediately report their
progress on each task for which you requested a progress update. What the
resource should do is to immediately enter their actuals for the tasks you
are requesting and during the time period you are requesting, and then to
click either the Update Selected Rows button or the Update All button.
When you receive the appropriate task updates from the affected resources,
you will need to Accept or Reject each update on the Updates page of PWA,
and then click the Update button. Of course, at this point Microsoft
Project 2002 will be launched, the project plan will be opened, and the task
updates will be entered into the project plan.
At this point, those special "awaiting task update" indicators will be
cleared for each task in which EVERY resource assigned has sent a task
update. In fact, the ONLY way to clear this indicator on a task is when
every resource assigned to the task sends an update for that requested task.
