Question: Access & Publisher??

Hi out there...

I've an Access database (some data is names/addresses/etc)... and a
Publisher template (with 8-10 Styles). I want to make a phone directory.

I've tried googling "Access to Publisher"... and came back with alot of
Access->Word hits... Didn't come up with anything useful on
Publisher-FROM-Access either.

Can someone point me to where I should start??

Hi Mary...

Thanks for your response! To answer your question tho... I was using
Off/Pub 2002 but loaded Off/Pub 2003 on one machine to try your catalog
suggestion. It seems to work alot like Crystal Reports... and it seems to
have potential but... can I apply logic to the catalog process?

For instance:

1. If a field contains a "P", I want to print in black... if "R", print
in blue, etc

2. I always want to print PHONE-1 but, if PHONE-2 is NOT blank, then I
want to concatenate with " / " + PHONE-2

3. I have 3 email fields... EMAIL-1 always prints (blank or not) but
EMAIL-2 is NOT blank then I want to print a 3rd line with EMAIL-2 only.

Can such logic be applied to the Catalog Tool?? I didn't see any
possibilities but I've only played with it for 2-3 hours so far.

I haven't used the catalog merge a lot.

You can create as many fields as you want in your data base and you can place
the fields anywhere in the merge block. You can highlight the text in the field
and resize and recolor the font. In step 5 in the catalog wizard you can create
a new publication. This would allow you to make individual page edits.

I truly appreciate your time with my little task... but I don't see where
the "catalog merge" will do ALL I want to do.

It seems to solve my basic concern... of pulling Access data into a
Publisher format... but it doesn't seem to (easily or at all) resolve
"conditions"... like if records... for a 2-line "catalog line"... #1, #2, #5
are year-round, I want BLACK... #3 a renter, I want BLUE... #4 the renter, I
want GREY and, if #2 has 3 emails... Also, I want email-1 to fill in space
on line 2 but, IF there's an email-2, I want to print on a 3rd line... BUT I
don't want that 3rd line when there is no email-2.

So... given that... I guess I'm stuck having to maintain an Access database
AND a Publisher .PUB.

I've done several small phone directories...I just use data from tables,
that way I can see what I'm doing, it may take longer than merging from a
database but it give me control.

Hi Rob...

My "situation" is a little bit more complicated..

I live in an 1800-home gated community. I maintain an Access-type (actually
VB6) database because I fix PCs and my brother-in-law cleans pools... so I
have additional data for "PCs" like when did I last visit this client, OS,
amount RAM, etc... and, for my BIL, if home has a pool, how large, a hottub,
etc.

I started making a phone book 2 years back cause the Home-Owner Association
didn't deliver the "Jan01" book until mid-July... and now I hand it out to
some of my "better" clients... unfortunately... I ended up with two
databases... one in Access and one in .PUB format... and I'm not smart
enough to pull the Access data, add some programmatic logic to assign "a
resident" against a (1 of 8) style in my Publisher template.

I started off thinking I could push Access into Publisher but then had to
back-track for my color-coding needs... so now I'm trying to figure out
o\how to use Publisher to pull the data... which Mary's "catalog merge" idea
will do... but I can't find where/how to add data-decisions to assign my
"styles" white "merging".

So... that's my "Reader's Digest" version of WHY... fortunately real estate
market sucks... so plodding along with two databases in an annoying
frustration right now.

Ok,,, I haven't worked with Access in quite a while..but couldn't you filter
your db and output as (or to) a .csv then open that with Excel...massage it
there with conditional formatting and such then use that for a merge into
Pub or just use the Excel table (with or without the grid lines) ??

Pretty sure you wouldn't need data like pool, hottub, ecc...for a phone book
right?
