RBS Groups in MOPS 2007

B

Bryan

Hi,

I am wondering if the RBS groups define the hierarchy for task updates
in MOPS 2007 as they do in MOPS 2003. For example, if a resource
enters time in a task and submits that update, it will go to their
lead (as defined by the groups in the RBS field). That lead's task
update would go to their manager and so on.

I am not sure if my example is clear, but I am not using timesheets at
all in 2007. My current RBS configuration pretty much mirrors our org
chart.

Any help is greatly appreciated!

Nope, that's NOT how Project Server 2007 works. When a team member submits
a task update from the Task Updates page in PWA, the update goes to the Task
Updates page of the person designated as the Status Manager for that task.
To see the Status Manager field, open an enterprise object in Project
Professional 2007 and insert the Status Manager field in any task View, such
as the Gantt Chart view. Each task can have only one Status Manager. So,
to answer your question, RBS has nothing to do with the task updating cycle.
Hope this helps.

Thanks. So what exactly does the RBS group do in MOPS 2007?

You can use the RBS as a part of your organization's security model to limit
each user's access to projects and resources. You have to properly define
your security Categories to do this, however. Hope this helps.

OK. Makes sense. I can't for the life of me figure out how to setup
the task approvals how I would like:

Team Member enters task updates (which are sent to the Team Lead).
Team Lead approves the task updates.
System Admin would then open the Project app and accept the updates.

I'm starting to think this isn't possible...do you know how to set
this up?

Thanks so much for your help!

What you want to do is not possible. You are correct that Project Server
2003 allowed the two-layer task approval process (first to Team Lead and
then to the Project Manager), but this functionality is no longer available
in Project Server 2007. So, it's time to ditch your process and move on.
:)

OK--what would be the easiest, most streamlined way to accomplish
this? I assume it would be to use timesheets and then sync them with
the task updates. I was trying to avoid this so it wouldn't be a two
step process to submit task progress.

I thought you said you are not using Timesheets at all in Project Server
2007. Do you actually have a business need for using Timesheets? Remember
that the purpose of the My Timesheet page is to capture all types of time,
including project time, non-project time, and nonworking time such as
vacation. If you have that need, then you can have team members enter their
progress on tasks on the My Tasks page, submit the task updates to their PM
for approval, then import the task progress on the My Timesheets page, enter
non-project time or nonworking time, and submit the Timesheet to their
resource manager (functional manager). That's the simplest way to do it.
Hope this helps.

This definately helps. I need to turn the timesheets back on. I was
trying to not use them, but I also need to be able to have multiple
levels of approvals as well.

Thank you very much for your help!
