Renumbering not working

K

kwong221

I'm in header mode (header 1,2,3 etc for table of contents) and i
cannot renumber. For example, under header 2, i need to start new
numbering for header 3 but when i click on the "renumber" in the
lightening button, nothing happens. Also when I go into bullets and
numbers, the renumbering option on the bottom is lightened, so not
available to click. Could this be happening because the original
document with the heading styles was created in a PC version of word?
thanks

Well... a couple of thoughts to offer:

First, I believe you're referring to head*ing*s here rather than head*er*s -
not being picky, but there is a decided distinction between the two:)

Next, I get the impression that you are trying to type & format your own TOC
manually rather than using the built-in facility offered by the program to
get this done for you automatically. Using the feature will also accommodate
updates that may have to be made to the doc so you don't have to spend your
time & energy chasing down page numbers, etc. every time something changes -
If you *create* it manually you'll have to *update* it manually, so the
whole chore becomes a perpetual loop. See the following link from which you
can download "Bend Word to Your Will" and have a gander at how that article
was put together (TOC & all). Instructions for doing the same type of job
begin on page 64 - although you may benefit from at least perusing the
entire file before you go back to work.

Additionally, you seem to have limited experience with Outline Numbered
Lists, which is what you're having so much difficulty with - that's what you
would need for a manually created multi-level TOC, but it doesn't sound like
that's what you're using. Although that subject is covered in "Bend Word..."
as well, you don't need to get involved with it if you follow the
suggestions on how to create a TOC in the first place. If you _have_ used
Word's built-in styles - such as Heading 1, Heading 2, etc. - to format your
work the TOC can be reduced to little more than a point 'n' click operation
rather than a nightmarish exercise in futility:)

If you need clarification on anything in "Bend Word..." don't hesitate to
post back for clarification - the author, himself, may quite possibly be
peeking in at this very minute. [You out there Clive?] Include specifics -
including Word version - if you do.

Um, yes, but just finished reading Saturday morning papers to coax myself
into wakefulness.

Looking through your eloquent answer again, I've re-read Kwong221's
original, near-impenetrable post. It seems that s/he may have mentioned a
table of contents only as a side remark about why s/he used headings.
Goodness knows, really; and I'm not sure what "header [i.e., 'heading']
mode" and "'renumber' in the lightening button" refer to.

But over all, I think it's a numbering problem that's being reported.
Specifically, maybe re-numbering, i.e. re-starting a numbering sequence --
or maybe establishing a hierarchy of numbering such as "1.1" for heading 2
and "1.1.1" for heading 3. There's a possible clue here ("Could this be
happening because the original document with the heading styles was created
in a PC version of word?"). Certainly, numbering problems are known to occur
when a document is transferred from another computer, non?

So here's my response: Kwong221, take a bit more time and effort to ask your
question again. Then we can answer properly. And tell us the version of
Word, please. ;-)

And in the meantime:

"Bend Word to Your Will" is downloadable from
http://word.mvps.org/Mac/Bend/BendWordToYourWill.html

See "Avoiding broken numbering sequences" on page 123 and the two numbering
articles starting on page 148.

The most robust, reliable method (with minimum potential for corruption,
which is why I use it when I'm forced to use automatic numbering) is very
well explained at www.shaunakelly.com/word/numbering/OutlineNumbering.html

But if you do not do it exactly the way Shauna describes, it won't work.

Your numbering is applied by the Heading styles.

The Heading list is a single list: there can only be one in a document.

You cannot restart the numbering in a heading list, not even using "Restart
numbering". If you could, it would make the numbering sequence illogical.

To get a different number, you must insert a paragraph above where you want
the numbering to reset. If you insert a paragraph with the correct Heading
level on it, that will reset the numbering of the paragraph after it.
