Resource Availability Incorrect in Resource Usage for Project 2007

K

Kelly Becker

We are running Project 2007 with Project Server - SP2. The problem we are seeing is with Resource Usage in the enterprise - in the thick client. We have resources who are shared on multiple projects. When a PM was using the thick client and was looking at the availability of their resources in the Resource Usage view, this shared resources had assigned hours in the "other projects" area of the view, but there were no hours associated with any of the projects listed. So..the "other projects" total was 5 hours, but each project under that heading had nothing. When I went to PWA to the Resource Center, the resource had 0h on that day. But I wanted to know what was causing this problem, so I began systematically opening each project under "other projects". Sure enough, the second project I opened had 5 hours for this resource. When I republished that plan (PM says they had published already), the 5 hours showed up appropriately everywhere. Any idea what could have caused this? If the publish had an error, wouldn't the 5 hours just not show up anywhere? Why did it show up in only the "other projects" total column and not with the project that had the hours? Any help would be appreciated as we need to understand how to mitigate this issue.

Thanks!
Kelly

You are seeing a known bug with Project Server 2007 that has not been fixed.
It is for this reason that we recommend your users DO NOT select the "Load
summary resource assignments" option in the Login dialog when they connect
to Project Server in Microsoft Project 2007. There is no workaround for
this bug, so you really need to focus on using the Resource Availability
page in PWA to determine whether resources are available to work in your
projects. Hope this helps.

Actually...could you please help me more then? Our resources are shared between multiple projects. Are you saying that in order to assign a resource to a task on a project plan on a given day, or week, we need to check PWA for each day of the assignment first, and then assign in the plan? Or is there a better way to resource? Wow...this would be a huge problem! Any ideas on when MS plans on addressing this?

Thanks...Kelly

Kelly --

Given the fact that the "Load summary resource assignments" option does not
work properly, your only other option would be to use the Resource
Availability page in PWA. On that page, click the Settings menu at the top
of the page and select the View Options item. In the View Options pane, you
can select the time period in which you are interested, and the granularity
of the time information (days, weeks, etc.).

Most of the people I know who use the Resource Availability page look at
resource availability information on a weekly basis, not a daily basis.
Although this might allow for minor overallocations on a daily basis, it
would eliminate the tediousness of the process. Hope this helps.

One additional thought: If you know a resource is assigned to other
projects, you can always open those other projects first before assigning
the resource to tasks in a new project. On the Resource Usage view, you
will see the resource's current assignments in all of the open projects.
You can use the View Availability page in PWA to determine exactly which
projects contain resource assignments for a given resource or set of
resources. Then open only those projects and use the Resource Usage view in
Microsoft Project to see exactly what the resource is doing in each project.
Just an additional thought. Hope this helps.
