Resource Group Question

Roman Benko

Hi. Some of the tasks in my project involve the entire project team,
consisting of five people. An example would be a four hour session
brainstorming and documenting business rules. I would like to set up a
resource named "Project Team" and assign it to the task. I would also like
each person on the team to be identified as being part of that group so that
when they get their resource assignment reports, it will include tasks
assigned to them individually as well as those assigned to the project team.
Is this possible? Thanks.

Hi Roman,

While what you ask is possible, it may create problems for you with resource
overallocation. If you create a resource named "Project Team" with a maximum
unit of 500% (representing the five team members) you may assign that
resource to tasks. The problem is that if Bob is represented in the 500%
maximum unit but also exists as a separate named resource, Project will not
flag Bob as overallocated if you assign him as an individual to a task at the
same time the "Project Team" resource is assigned.

I suggest just listing each resource individually and perhaps using the
group field for the "Project Team" designation. When you want to assign all
of the five team members select them all (using the CTRL + click method) from
the Assign Resources dialog box. You may also filter resources for the Group
"Project Team" in the Assign Resources dialog box to just see those five
resources listed. You may also use the Task Form (split in the Gantt Chart)
or the task information dialog box to assign the resources.

Hope this helps. Let us know how you get along.
