Resource Info for currently open project only

Robin Roe

Hi,

I want to be able to show the resource information for the currently open
published project only. At present when I go to, for example, the resource
usage view, the summary shows the hours on all projects, that the resource is
used on. The resource graph also shows a percentage for all projects rather
than just the current one. I appreciate why this is essential info, but i
would also like to be able to see it on a project by project basis. I can get
around this by saving the file as an mpp, reopening and then getting the info
I need, but this isn't really ideal. Portfolio Analyser can also build
reports, but I then have to wait for the cube to rebuild to get current info.

Thanks

There are probably two ways you can accomplish this. One method would be to
temporarily save the project in Offline mode using File - Save Offline (NOT
File - Save As...). After analyzing the Work by resource, you need to save
the project in Online mode by clicking File - Save Online.

The other way would be to apply a custom Group to the Task Usage view to
"trick" Project Server into showing you the data you wish. To create this
custom Group, do the following:

1. Open the project in question
2. Click View - Task Usage
3. Click Project - Group By - More Groups
4. Click the New button
5. Give this Group a name, such as "_Project Work by Resource Work" and
select the "Show in menu" option
6. Select the "Group assignments not tasks" option
7. Set the Group By values to Field Name = Name, Field Type = Assignment,
and Order = Ascending
8. Set the Then By values to Field Name = Name, Field Type = Task, and
Order = Ascending
9. Click OK and then click Apply
10. On the Formatting toolbar, click the Show button and select "Outline
level 2"

If this custom Group meets your reporting needs, ask your Project Server
administrator to copy it from the project to the Enterprise Global file.
Hope this helps.

There is an easier way, but you must not log in to the server account
automatically. Make sure you have the "Project Server Accounts" box
displayed when you open MS Project. Uncheck the box that says "Load summary
resource assignments". If unchecked, you will only see resources as they
apply to the project.
