resources are doubled when filtering

I have a lot of projects, a resource pool and a consolidated project.
When i'm going to assign resources ( I work in the consolidated file) I see
all the resources correct. But when I filter the resources by group, all the
resources in the selected group show up 2 times.
Anyone recognises this and knows what I can do about it to correct.

Welcome to this Microsoft Project newsgroup :)

You don't seem to have had a response. In the Master, have a look at the
Resourse Sheet. Is this where the doubling up ocurs?

Thanks for replying

The resource sheet is correct.
I made a custom filter ( from the resource allocation form ) on group.
(group = P1)
Productionpeople have got group P1 P2 P3 or P4 (4 teams)
When I use the filter to assign, all the members of a groep show up 2 times

Hi Kees,

Please give us the details of the custom filter you've created.

You note that you created the filter on the "resource allocation
form" -- do you mean the Resource Allocation view -- which is the
Resource Usage view over the Leveling Gantt?

What version of Project, including Service pack are you using?

Hi Julie,

It's the : "assign resource" form

First I allocated a group number to the resources
5 persons in group P1
5 persons in group P2
etc
(The P is for production workers)

I made a filters :
all production workers: filter on group = P*
for team 1: filter on group = P1

When i'm going to assign resources I want to filter to all production workers
then i use the filter and every person is 2 times in the list.

the version i use is
2007 12.0.6211.1000
SP MSO 12.0.6320.5000

Hi Kees,

Thanks for the additional information. I cannot reproduce what you
report. I am using Project 2007 with SP-1 and the Infrastructure
Update installed. I have created a resource filter:
Group = P*
in the resource pool. I copied the filter to the consolidated
project. When applying the filter in the Assign Resource dialog
box, I only see resources listed once.

I first suggest installing SP-1 and the Infrastructure update to see
if that works.

Thanks for your reply,
I had SP1 installed and now i installed the infrastructure update
My version is now 12.0.6318.5000.
For your information:
I use project 2007 Profesional edition in Dutch
The problem is the same.
Because I made the filter in the consolidated file and you made it in the
resource pool I thought that could be the difference but that does not make
any difference.
(I reproduced what you did.)
All the filtered persons show 2 times
After assigning a resource, that resource is showing once.
The rest still shows 2 times

any suggestions ?

Hi Kees,

The only difference I can see is the difference in the versions --
you are using the Dutch version -- I am using the English version. I
don't know if Jan De Messemaeker (MVP) has been following this --
and I don't know if he runs the Dutch version or not. Perhaps he
can test as well.

I'm with Mike thus far -- it's possible your resource pool file has
some corruption problems. Rebuild the pool and see if the problem
stops.

Please let us know how you get along.

Hi Julie and Mike,

To start a clean test I made:

1: a new pool : called Pool2
2: a new project (called testproject1) that uses the resourcepool "pool2"
3: a new project ( as the consolidated project file) and imported testproject1
4: in pool2 I created a filter
5: copied the filter to the project file (testproject1)
6: copied the filter to the consolidated project file

Test the filter from the "assign resource dialog":

The filter works fine in the resource pool file
The filter works fine in the projectfile
The filter goes wrong in the consolidated file

Is that the way you tested it ?
Original I made the filter only in the consolidated file but that does not
matter, the result is always the same,
In the consolidated file it goes wrong.

Hi kees,

I'm not sure why you are doing step 3. If you open Pool2 with the
third option "Open the resource pool read-write and all other sharer
files into a new master file...." it will create the consolidated
project. You do not need to them import any project.

I've not had time to test your process but that is not how I tested
the filtering earlier. Try that option and then see if you see the
same issue.

You found it !
When I create the consolidated file the way you do, there is no problem.

The way I created the consolidated file is the way Microsoft discribes the
proces in its Self paced traning kit "Managing Projects with microsoft
project 2007" Its for MCTS exam 70-632.
Its very strange the filter's behavior is different.

Can you test it the way i did to be shure ?

The differences:
In your consolidated file the first subproject is the Pool, in mine not.
When I open my consolidated file, the pool file opens as read only file as
well.
With your method no additional file is opened.

What's next ?
After your consolidating creates a new file i save that file for further use.
Build filters and reports etc
The next time I open with the second option ?
The next time there is an addition project I have to add, then I have to
import that project the way I did, is that correct ?

Hi Kees,

Glad we stumbled across the solution. I'm not familiar with the
MCTS training kit you mention and creating a consolidated project
through Insert > Project is fine if you are not using a resource
pool. However, if you are using the pool, the pool helps to create
the consolidation.

I had some trouble with your process in that I had to "re-share" the
pool file with the consolidated project. Not something that makes a
lot of sense to me as we already have the pool shared with the
subproject files.

Although you can save the consolidated project, depending upon how
many files you have attached to the pool, it may be easier to create
the consolidated project as needed. Your custom reports can be
stored in the resource pool and copied to the consolidated project
as needed. By creating a new consolidated project you also get the
benefit of making sure all active project sharing from the pool are
involved and any completed projects that you have disconnected from
the pool don't show up in the consolidated project any more.

You're most welcome for the assistance. Thanks for your patience
and perseverance.

Hi Julie,
We get a different point of view.
I think its more practical not to create a new consolidated file every time
but always use the same.

I have not shared the pool from within the consolidated file.
and I don't understand why you had to re-share the pool
The pool is already shared through the sharing in the projects.

I work like this.
I create a pool: pool2
I create several projects called project1, project2,project3, and share the
resources -> pool2
I create a new project called "headproject"
I import all the project into "headproject"
Save headproject ( question to update the pool file = Yes )
ready

Everytime I open the "headproject" I will be asked if I want to open de
resourcefile as read-only ( answ=yes)
After making changes:
Save headproject and then the question if you want to update the
resourcefile (from memory -> pool2 file) (anw = Yes)

Hi kees,

I understand the method you are using to create the consolidated
file however, as you discovered, the filters aren't working as you
need them to using your method.

I haven't had a chance of late to step through your scenario but you
can certainly save the consolidated project created through opening
the pool. The "sharer" project files are linked to the consolidated
project so if the details in the projects change that change will be
shown in the consolidated file. Likewise, if you chance information
in the consolidated file, the information in the sharer file will be
updated.

You'll need to manually add any new sharer files in and remove any
files you no longer need. But neither should cause problems.
