Restart Numbering Error

K

Kerry

Hi

I have read through the numbering error posts and articles on the web , The
most effective work around for me is to inserts the LISTNUM field on the
blank line before you wish to start renumbering.

Is this a microsoft recognised error? I have searched knowledge base to no
avail. I need to prove to a client that this is recognised and not something
that we have setup incorrectly in their templates.

Many many thanks in advance.

Kerry.

The most effective way to set up numbering in a Word Template is by using
styles according to the instructions at:

See: How to create numbered headings or outline numbering in your Word
document
http://www.shaunakelly.com/word/numbering/OutlineNumbering.html. (For
bullets see http://www.shaunakelly.com/word/bullets/controlbullets.html, the
subject is related.)

Automatic numbering in Word is flaky. If you don't set it up properly, it
will go crazy with sufficient editing. Setting it up properly is not
intuitive or easy to do without following the instructions mentioned
earlier. Bottom line, both you and your client are correct. You are correct
that this is a problem feature in Word. The client is correct in that it can
be set up to work.

Hi Kerry

You haven't said what (which?) error you are talking about. If the issue is
that numbered styles do not automatically restart numbering after
intervening styles, then this is "by design" and actually does make sense -
in many environments you certainly do not want intervening paragraphs of
different styles restarting your list (think heading numbering, for
starters).

What is a shame is that MS didn't implement a "level 0" so you could choose
which styles restart numbering for each list format. You can push everything
down a level and link Body Text or even Normal to level 1 (with no printing
number), but cascading styles on that is living a bit dangerously.
Incidentally, your positioning of LISTNUM is also living dangerously - if
you have any different type of list (including bullet points) before your
restarting point, the LISTNUM will control numbering of that previous list,
not the coming one. You need to place the LISTNUM at the end of each list.

See http://www.word.mvps.org/FAQs/Numbering/ListRestartByLISTNUM.htm

the other linked articles also explore some of the other restart bugs and
problems.

I concur. There is a little problem with LISTNUM fields (I discovered it
with the LEGALDEFAULT option.) Deleting a character immediately to the left
of the field causes the field to reset to 1.1….

There are many ways to restart the list correctly. The most simple is to
copy the number and paste it immediately to its right. Then delete the copy
you just made (on the right), and the list is re-initialized.

Explanation: I have a single list of headings in my document. I want them
to be listed quite normally in a legal way. When I delete a character (a
return usually) before the LISTNUM, the number that showed, say 4.6, now gets
reset to 1.1.

I did more tests this morning, and it seems that the deletion process does
not always alter the LISTNUM. Actually, the more you try to make it happen
in a document, the more stable fields get, which is great. I'm yet have to
pinpoint an infailible scenario that will reproduce the problem.

Note: This report is not critical. I even noticed that just moving the
cursor with the arrow keys over the field can bring it back to its normal
count (say from 1.1 to 4.6 in our example). Many other operations also tend
to return LISTNUM fields to the correct count, like pasting stuff downstream.

Well, LISTNUM fields used in conjunction with paragraph numbering will
affect, and be affected by, the paragraph numbering, so what you are seeing
is not necessarily a sign that something strange is going on...

Note that you can press Alt+F9 to show/hide the field codes, and you can
edit field codes to explicitly have the desired level and starting value, if
necessary. For example, the following field:

{ LISTNUM \l 1 \s 1 }

sets the numbering of level 1 to "1" (or "A" etc. depending on the type of
list).
