Retaining blank lines where mergefield is Blank

I am having trouble finding where I can change the
default in merge which does not print a line where the
mergefield is blank. I need to retain the blank line to
maintain form spacing.
I also have a problem in that when a mergefield's data
wrap to the next line a line is added. I have provided
sufficient space in my forms to allow for wrapped lines.
Word is adding additional lines unnecessarily.
Can anyone provide me with a solution?

Hi Malcolm,

We need to know which version of Word we're dealing with.

For the second question, do you see anything at the end of
these lines (like a bunch of dots or some arrows) if you
turn on the display of non-printing characters
(Tools/OPtions/View)?

Thanks Cindy for reply. Am using Office XP version of
word. Also have earlier versions if I can backtrack and
use 2000 or 2002 to resolve problem. Am looking into
second part of reply.

OK, in Word 2000 what you're looking for is in the dialog
box that is displayed when you click the "Mail merge..."
button in the mail merge toolbar.

This is still available in Word 2002 (Office XP - they're
the same), but you have to dig it out of
Tools/Customize/Commands, All Commands and drag it to your
toolbar. I think it's also labelled "Mail merge..." in
there. But if you don't find it under that, check the Word
2002 section of my website - I've got a list of all the old
commands there.
