Risk and Issues

Ehsan Khan

Dear all....

I have a couple of issues......

1) My client wants me to device a way so that the Executive can co-ordinate
with the PM in such a way that no one else gets the details related to the
issue or risk. However other risks and Issues can be seen by the team. The
whole point here is that they want the executive to get updates from PM..
Question the PM etc. But this communication should be between them only. Any
way this can be done..???? I propsed status reports but that does not seem to
be the solution ....... any idea ..work around will be appreciated...

2) The other issue is related to the triggers in Risks.... wht do they
explain.. how can you created ur own value.... ?? wht is meant by date?? wht
is meant by task?? etc .. please give me some details realted to that.....

Hi Ehsan,

For question 1 you could create a WSS subsite underneath your project's
site. For example, if your project's WSS site is located at the
following URL:
http://project:90/sites/projectserver_107

then you could create a subsite called "executive" and it would have the
following URL:

http://project:90/sites/projectserver_107/executive

As part of creating the subsite you would change the default permissions
from "Use same permissions as parent site" to "Use unique permissions"
this way your team will not have access. You would then add you and your
executive direct WSS permissions.

Here are the instructions based on the assumption that your project is
has the ID of 107 and that you have Administrator permissions on WSS.

1. Logon to PWA with Admin permissions.

2. In the web title bar, click Admin

3. At the Administration Overview page, click Manage Windows SharePoint
Services

4. At the Connect to SharePoint server page, click Manage SharePoint
sites in the Quick Launch pane.

5. At the Manage Windows SharePoint Services sites page, locate your
project that you want to create a unique subsite for your executive to
view private Issues or Risks. Then click the hyperlink, for example,
http://project:90/sites/projectserver_107

This will open a new browser to the WSS site for Project 107.

6. At the Home page, click Create on the title bar

7. At the Create Page page, scroll to the bottom of the page and in the
Web Pages section, click on Sites and Workspaces

8. At the New SharePoint Site page, configure the following sections:
Title: Executive Issues and Risks
Description: Private Project Issues and Risks for Executives
Web Site Address: executive
Permissions: Use unique permissions

Click Create

9. At the Template Selection page, select Project Workspace and click
OK.

10. At the Executive Issues and Risks page, click Site Settings on the
title bar.

11. At the Site Settings page, in the Administration section, click on
Manage users.

12. At the Manage Users page, click Add Users.

13. In Step 1, add your executive's username (DOMAIN\username), then in
Step 2 decide what permissions you want you executive to have.

Then you're done

Good Luck!!
