Rolling Up Resource Usage

My Boss Needs me to provide him with rolled up %age usage for resources

The Issue is that In Task Usage View Resources are only allocated at task
level - they are not rolled up
in the same way that work is rolled up in the gantt

is there any way to do this ?

My Plans typically consist of

Programme Level


So If I Had 1 resource (R1) and he was 10% on Task 1a1, 20% hrs on Task 1b1
and 60% hrs on tasks 2a1

And we assumed concurrent tasks

His Hours would be

1 At Program Level: 90% utilisation
2. At Project1 Level: 30% utilisation
3 at Project 2 Level 60% utilisation

clearly over a tamespan these percentages would vary as tasks started and
finished..

Please can someone throw some light on this for me

Hi Graham,

If you are looking for resource allocation and assignments to tasks,
take a look at the Resource Usage View. It is organized by Resource,
then showing the assignments for those resources. You could add the
Percent Allocation field to the timescaled portion (right side).
Collapse up the assignments for the resources, zoom the timescale to the
desired time-span, and I believe you will get what your boss is
searching for.

Thanks Julie,

This doesnt solve the problem - the Resource Usage View only shows the tasks
that the resource is assigned to, it doesnt show summary tasks (which is
what I want)

For Example - in the Resource Usage View - there is just a single list of
tasks below the resource - no task heirarchy

Ive also tried Task Usage, and while the summary tasks are shown, there is
on "rolling up" of resource work or %allocation

I think it will need to be exported for further processing to get the
results I need, but I dont have a clue as to how to do that....

Hi Graham,

You can export data from the Resource Usage or Task Usage view using the
Analyze Timescaled Data in Excel... button on the Analysis toolbar.
However, the most common complaint is the export does not capture
assignment names (from the Resource Usage View) or assigned resource
names (from the Task Usage View.)

You can do a very careful copy and paste from either view (you'll have
to take it in two bites -- right side, then left side) into Excel as
another option.

I'm imagine there is also a VBA method of doing this, but that is beyond
my skills. If you wish to pursue the VBA idea, try posting the details
of what you are looking for to the Project Developers newsgroup
(microsoft.public.project.developer).

Tried all those, and (with a LOT of hand cranked work the Cut n paste could
be made to show the data, but it's a MAJOR task for what will become a
weekly report..

So you think the only answer would be some VBA code??

Hi Graham,

It sounds like you have already run through all of the suggestions that
I can offer -- sorry. The difficulty is trying to get summary
information (task information) paired with resource allocation which is
resource information.

Perhaps someone else will weigh in with an option that I have
overlooked, but I think VBA is the best option at this point.
