Saving Symbol specs in Word /Embed True Type fonts?

I am a freelance copy editor for an academic press, and I received this
directive (SEE BELOW) today, about saving specifications for "Symbols"
in Word. The problem is, the steps listed below are meant for PC users.
There is no "Options" box in "Tools"--so where could I find the "Embed
TrueType fonts box?"
Can anyone tell me how to do this in Mac? I'm using Word 2004 with all
the latest updates, System 10.3.9 Thanks.

We often run into the problem of symbols dropping out of the file when
it has been typeset. Beginning immediately, please add these steps when
you save your copyedited files and let me know if you have questions.

1. Copyedit as usual, inserting symbols using the Symbol font in the
Insert Symbol dropdown menu.

2. Save the file as follows:

a. click on Tools
b. click on Options
c. click on Save tab
d. click Embed TrueType fonts box
e. click Embed characters in use only box
f. make sure the box Do not embed common system fonts is not
selected

3. Do this for every file, as these specifications are not
automatically saved as defaults in Word.

I'm not sure what happens if you embed the fonts on a Windows version of
Word and then edit the file on a Mac.

Yeah... Good question :) I really should test this, but I haven't time
right now...

The embedded font will remain in the document, I believe. But if there's
anything more than minor editing of the file, the font will get disconnected
from the text.

From that time on, you would have a "Corrupt Document".

You need to get back to your client and tell them to send the fonts :) Mac
OS X/Word will cheerfully use just about all of the fonts that will work on
Windows.

Bu to save a lot of fiddling around, get them to send you the fonts as
individual TrueType files (with the .ttf extension). These will just
drag-and-drop into your preferred Fonts folder. Reboot your Mac to flush
the font caches and she's "apples" :)

OTF files seem to cause some nasty problems for some users on OS X.4
(Tiger)...
