Section page numbering

B

Bob H.

I have a Word 2002 document that is broken into
alphabetic sections A through Z.

How can I auto number the pages in each section to be
shown as A-1, A-2 then B-1, B-2 etc. with the numbering
shown at the bottom outside of each page?

Maybe there's an even easier solution, but here's one that involves some
manual inserting of field codes:

You could first insert normal page numbering (without the section letters)
through the normal Insert-Pagenumbers command. In the dialog of that
command, you select the right options so that each section restarts page
numbering at 1, and that the numbering appears in the right position.

Then, open View-Headers/Footers and go to the Footer. Make sure that all
sections share the same footer, by linking each section's footer to that of
the previous one. You will find that the page number is technically realized
as a Field in a Textframe. Into this textframe you can now insert whatever
additional text and fields you need. In your case, choose
Insert-Fields-Numbering-"Section". From the "Options" for this Field, choose
the one that formats the numbering as uppercase letters.

There's no getting around this: that page describes the only way to
achieve what you need.

Hey, that's interesting. I hadn't thought of the ToC issue when I wrote my
suggestion earlier. So, there is a setting, stored per section, which
specifies that a single {PAGE} field will always display both the chapter
and the page number together in that section, right?

Word never ceases to amaze me.
:)

I wish there was a single dialog somewhere that would let us view and edit
all the per-section settings together. As it is (in the versions I know),
these things are distributed across File-Pagelayout, Insert-Pagenumber,
View-HeadersFooters and who knows how many others, and it's somewhat
counterintuitive that you can edit such a per-section setting regarding the
page numbering only the moment you are actually inserting the page number,
isn't it?

Hi Lukas,

You can request a Format | Section dialog either by emailing
(e-mail address removed) (don't expect an answer) or by submitting a Suggestion
on the newsgroups, *if and only if* the web interface you are using has a
Suggestion option. It's unlikely to have an effect (I think Suzanne's been
requesting one for a while), but feel free.

I think I decided to stop asking because when I tried to picture one it was
far too complicated. :) If I couldn't get my head around it, I didn't want
to see what the developers could make of it. :)

Also, you can go back and change the formatting later, either off the Format
Page Number icon on the H/F toolbar, or by using Insert | Page Number,
Format. That's the counter-intuitive part. Word 2003 may have improved
that a bit, I'm not sure.
