See projects managed by members on the same level in the RBS

I know there is a limitation of using RBS to control access to resources so
that you can't see members on the same level in the RBS. I was wondering if
this is true for projects as well. I have a requirement to have all projects
managed by all PMs on the same level of RBS to be viewable by all PMs on the
same level. Every way I've come up with is an administrative nightmare, too
much overhead for the PM, or not the expected result. Any help would be much
appreciated, thanks.

I believe you have the same problem with projects as with resources. I
would agree this is a disappointing limitation of Project Server. Your best
option would be to use the same approach I detailed in my last post about
how to allow a PM to see his/her fellow PM's at the same level of the RBS.
Instead of selecting resources in the custom Category, select the projects.

Dale,

Thanks for the quick response. Unfortunately, that presents an
administrative nightmare. The admin would have to select all projects for
the PMs and make them viewable. You can see how my client would not like
that. If I can't figure anything else out, I'm going to suggest that when
PMs Build their team from the Enterprise Resource Pool, they do a filter for
all PMs and add them to the project. Therefore, making them a team member
and allowing them to see the projects. What do you think of that idea?

I don't much care for your idea since the other PM's are not really members
of these other projects. For the sake of simplicity, why don't you simply
give each PM access to all projects by doing the following:

1. Log into PWA with administrator permissions
2. Click Admin - Manage users and groups
3. Click the Groups link in the sidepane
4. Select the Project Managers group and click the Modify Group button
5. In the Categories section, select the My Organization category
6. In the Permissions grid, set the Open Project and Save Project
permissions to Allow
7. Click the Save Changes button

If you complete the above steps, along with the steps I detailed in my
previous post regarding RBS, you would have the following security
environment:

1. Each PM can see only the resources below him/her in the RBS, plus all
other PM's at the same level of RBS
2. Each PM can see all projects in the system

Just a thought. Do what you think is best. Hope this helps.

If I do that then the PMs from the IT Dept. will be able to see the projects
from the Marketing Dept. Basically, it's giving them free rain to see all of
the projects in the Project Server database. Am I correct with that
assumption? If so, that's not what I want. I only want the PMs from the IT
dept to see their own projects and the PMs from the Marketing to see the
projects for their dept, and so on and so forth. My apologies if I'm not
understanding this correctly. As you can tell I'm a little new to this.

Yes, you are interpreting my suggestion correctly. If you need to "wall
off" projects between departments, then you will either need to create
separate Project Server instances using the EditSite tool, or you will need
a labor intensive solution using custom Groups and Categories. Perhaps your
original solution would be the easiest by adding each PM as team members in
each IT project. Hope this helps.

Thanks I appreciate all of your help. On a side note, I'm trying to delete
cancelled tasks from resource's tasks view. Unfortunately, your site is down
so I can't access the paper you wrote on this. Would it be possible to place
it here? Sorry for the inconvenience.

Also, I want to make sure that once I remove the deleted task from the
resources task view, it will also not allow them to see the project anymore
in project center.

be back up? I've found it very useful.

I do not have a copy of the FAQ on how to delete cancelled tasks. Sorry.
Therefore, I will kindly ask you to be patient until we get our servers
moved to NYC.

Regarding the second issue, you cannot limit access to projects in the
Project Center by deleting the cancelled tasks. When the FAQ site is up and
going again, you can look for our Project Server 2003 FAQ on how to archive
completed projects in the production Project Server database, which will
hide the completed projects in the Project Center views. Hope this helps.
