Select specific contacts for merging with ActiveSync to mobile pho

We had to purchase Outlook in order for the active sync on my new HTC-S620
mobile phone (Windows Mobile 6) to work properly. We don't use Microsoft for
emails, and we are just a husband and wife team, we don't need all the stuff
about networking, replying to meetings, and all that.

The Lotus Organiser exported all the contacts over to Outlook with only the
usual amount of trouble, but I need to know how to separate out only the
contacts I need to sync with my phone. There are over 500 contact entries,
and I only need perhaps 100 or so. The others are archive entries going back
maybe 12 years or more, used perhaps once in year, usually much less. It's
nice to be able to type a phrase and you get all possibilities as you type,
but I don't want to wade through a phone book 5 times bigger than I need.

With Lotus Organiser I could save separate Organiser files: eg the main one
for the family with everything archived on it, and a separate Organiser file
with only such information as I customised into it.

Please: How do I stop Outlook dumping the whole contacts list into my phone,
and make it only give me the contacts I want?

You have several choices. One is to create a second contacts folder and keep
the items you don't wish synched in that folder. WMDC syncs only the default
folders. Another is to categorize your contacts and then sync only the
contacts in the categories you wish.

Hello Brian,

Thank you for your quick reply. I have created a second folder, but I can't
find a command to make it a default folder. I checked through the rightclick
properties, but couldn't see anything that said "open this folder by default"
or similar.
Another is to categorize your contacts and then sync only the
contacts in the categories you wish.

I haven't found a facility to do that. I guess it has to be in ActiveSync,
and I should locate their forum to find it.

Thank you - you've given me a good step forwards in solving the problem.

You can't change the default contacts folder without changing all the default
folders. Besides, I never said to make the second contact folder the default.
I said to place in it those contacts you _don't_ want synched because your
sync software will work only with the default Contacts folder.

To categorize a contact, right-click it and choose Categories. Then open
ActiveSync, click Options, select Contacts, then click Settings. Select the
radio button toward the bottom labeled "Synchronize only those contacts in the
following selected categories" and choose the category you've assigned to
those contacts you wish to sync. This assumes you did NOT move then to a
second contacts folder. As I said originally, these are two separate ways to
handle what you want to so, not ones you necessarily you both implement.

My mis-reading, thank you for correcting me :)
To categorize a contact...

Thank you, I will try that shortly.
