Send Schedule note

I am having a hard time understanding the Send Schedule Note option. I
understand the intention, but it doesn't seem to follow through with the
automation I would expect it to have.

Here's what I'm doing:
I select a couple of tasks that I want to email to someone and choose File,
Send To, Mail Recipient (As Schedule Note). In the Send Schedule Note dialog
box, I'm supposed to checkmark who I want to address the message to, project
manager, resources, and/or contacts.

First of all, I don't understand where it would be pulling the "project
manager" email address from. I can't find a field anywhere where I can
designate a resource as a project manager.

Secondly, when I proceed and click OK, I have an email form with the picture
attached of my previously selected tasks, which is great. However, the To:
field is left uncompleted. Since I selected to address the message to (at
least) my "resources," shouldn't it be pulling those email addresses and
popping them into the form? They are entered in the resource information
dialog box. Otherwise, I really don't understand the purpose of making
selections in the Send Schedule Note dialog box.

Any suggestions/ideas?

Interesting...I'm on 2007 for OUtlook and Project. I wonder if there is a
problem there... I know Project 2007 doesn't talk to Excel 2007 very nicely -
the files need to be in 2003 format, so maybe this would be why I'm having
troubles with Outlook??

Okay, I've just tested again using Project 2007 SP2 and Outlook 2007
SP2. Again, resources had full email addresses defined in the file.
The File > Send To mail as schedule note worked as expected. The
resource(s) names were complete and a bmp file was attached.

Do you have email addresses for all resources assigned to the
specific tasks? I assume you are allowing access when prompted by
Outlook?

Oh of course! I'll bet that's it. I'm so busy testing things around I didn't
follow through with the detail. I'll bet that the tasks I chose didn't have
specific resources assigned to them. Thanks much - silly mistake on my part -
sorry! I'll test it out this afternoon. THANKS!

Hi Julie,

It doesn't appear that the "project manager" name is pulled from that user
information in Tools, Options. My name is in there, yet when I use the Send
Schedule Note tool, and checkmark Project manager, it doesn't auto-complete
my name into the email message.

The good news is that the Send Schedule Note option did work as you had
pointed out noticing which tasks I was selecting. Unfortunately, however, if
I select a task that also has material resources, the email process seems to
get cancelled as it gets confused by not seeing an email address for the
material resource?

I'll have to continue playing around with this. If you have any additional
insight to offer, that would be great!

Hi Heather,

I'm glad to hear you are getting closer. As far as material
resources, are they truly set as material in the resource type? I
don't have Project 2007 running currently, but it does seem odd. I
suppose you could list your name in the email address field for the
material resources if it fails due to no email address. I guess
better to spam yourself than others :)

I'll try to experiment some more over the next few days in between
flights.
