Setting Signatures

M

Mike Webb

Using Outlook 2003 on SBS 2003. We are still on dial-up until the summer,
so we use SMTP via Exchange to getto the ISP.
====================
Our Director told me he has gone into Tools>Options>Mail Format and created
a signature for his emails. In both blocks (Signature for new messages, and
Signature for replies and forwards) he has used the drop-down list to select
his signature, yet he only gets the signature to show up on New messages.

What might be preventing his signature from automatically showing up on
replies and forwards?

TIA

Does he have more than one account in his mail profile? Did he set a
signature for every account?

Yes. We have the POP/SMTP account to our ISP listed first and then there's
the MS Exchange account. The company that set up our SBS 2003 server did it
that way so we can get periodic email from "the world" and instant email
within the network. Plus Exchange caches everything.

A better configuration would be to have the Exchange server handle all your
mail.

In any case, just to be clear, let me ask again: Did you set up a signature
on *every* account on the Tools | Options | Mail Format dialog?

You know, I didn't think to check the drop down list in Tolls>Options>Mail
Format>Select signatures for account. Let me check .......

Okay, he has his signature selected for new messages, and replies and
forwards for both the POP/SMTP and Exschange accounts. Looks like we're
stumped again.

Hope you can give us something else to check.

I'd check to see whether there actually was text in each of those
signatures. I can't think of a scenario where they wouldn't be invoked if
they're properly set. But I could envision nothing appearing in the message
because nothing is in the signature file.

Verified the signature is there. We tried a few things and found that in
Tools>Options>E-Mail Options I saw that "When replying to a message" was set
to "Do not include original message", which is what the Director wants.
When I changed it to any other setting, the signature shows up. So it seems
that that one selection si the cause of the problem.

Ideas?

It sounds like you've already scoped out the alternatives pretty well.
