Setting up PST files for backup with MS Backup Tool

M

Mark W

I've downloaded the MS Backup Tool and, with Outlook 2007 open and showing my
Personal Folders in the left navigation pane, click File and Backup, but the
Outlook Personal Folders Backup dialog box says: "(No files set for backup.)"
I cannot figure out how to get the pst folders I want to periodically back
up listed in the Outlook Personal Folders Backup dialog box so I can check
them off and proceed with the backup.

What is the MS Backup Tool and why would you think we would be familiar with
it?
Just curious. Why would you fuss with this? How difficult is it simply to
make a copy of your Outlook data file to back it up?
Personally I would never trust a backup utility that attempts to back up
Outlook data when Outlook is open. Just because Microsoft thinks it works
doesn't mean it does.

It doesnt run untll Outlook has fully exited, if for any reason the data
file is in use it bauks with an err.msg

Precisely my point. Why anyone would even try it is beyond me.

Just an observation, no 'side' intended
Since the pst can be 'in use' by something other than outlook, I wonder
whether a simple copy will produce a valid copy.(other than by testing it
each time)
At least the Backup Tool provides the user with a msg that the backup cannot
complete because ** data file is in use

Any attempt to copy a PST file that is in use will generate that message.

To catch up with prior responses, the MS Outlook Personal Folders Backup Tool
is a download from MS Office Online that allows you to save a backup copy of
emails, contacts, appropintements, tasks, notes and journal entries-- the
entire .pst file -- to my external hard drive in one stroke, and initiates a
reminder to me to perform the backup at periodic intervals that I choose.
Perhaps the same thing can be accomplished in other ways, but this seems
highly convenient to me.

DL suggests I need to set up the files for back up inside the backup tool,
but that is exactly what I don't understand how to do. I realize the backup
tool implements the action at shutdown, but I can't seem to figure out how to
get the backup tool set up to list my .pst folder so I can check it for
backup. The tutorial info on MS Office Online for this tool under the
section "Use the PST Backup tool" simply assumes the dialog box will list
..pst files that will be included in the backup, but it doesn't explain how to
get those files listed. Maybe I need to reinstall the tool?

Click File>Backup. When the Backup tool opens, click Options. Select the PST
you want it to copy, then browse to the folder where you want it placed,
giving it a name you like. Click OK.

Alternatively, when you close Outlook and the Backup tool appears, do the same
thing.

That's exactly what I tried doing before, but when I went into Options in the
dialog box, there were no folders listed at all that I could check to set up
the back up process. For some unexplainable reason today when I did this,
all my open folders appeared in the Options dialog box and it all worked just
fine. I don't think I'll ever know why it didn't work yesterday (operator
error, MS erratice, etc.), but at least I thank folks here for keeping the
discussion going which kept me trying.
