share excel file become empty

Please help me for below issue....

Our server's operating system is WINDOWS NT4.0. We have an excel file
located on server and shared by 4 users, everyday they need to update the
information of the file. The file includes 6 spreadsheets with different
names.
3 incidents happened to this file with same situation: the file become
empty suddenly one day and looks like a new excel file with 3 worksheets
{sheet1, sheet2, sheet3}, but the file name does not change. On server's
record, we found that the blant file is created, modified and saved at the
same date, in 2 times it shows the file is last saved by xxx but one time no
record of who save it. We also can find the ownership of this file. From
these records, can we say the incident is made by the person whose name
appeared in ownership no matter what purpose she made it, intentionally or
carelessly? Or, is there possibility of computer mistake?

Excel isnt optimised for multiple users to read and edit the same file
simultaneously. If you have been doing this, the results can be
unpredictable. When i came across this problem in a previous job, I did
two things:

1 - I immediately made it editable only by a single person. An updating
was done on a local copy, which was uploaded in a read-only format every
morning to the server. This was a temporary solution.

2 - As soon as possible, I moved all the data to MS Access, which is
better optimised to handle what was essentially a database anyway.

Humans have to stop treating each other like they treat us ants. Think
about it. If we build, say, a pair of very tall structures, like two
anthills side-by-side, some stupid human swoops in out of nowhere and
knocks them down. Or humans will drop food on the ground near us. we
think it's for us, but those same humans will also try to kill us! I
have no sense of irony, I'm just an ant. But if I did, I'm sure I'd
notice that.
