Sharing a customized template with toolbar

We are using Word 2003. I created a template for our manuals and added a
customized toolbar containing the most-used styles. I need to share this with
a colleague. I e-mailed her the file and she opened it, creating a Word
document. I saved it on her machine as a .dot and checked to see that the
file was where I expected it to be. Two things that are working fine on my
machine are not working on hers.

1. The custom toolbar was nowhere to be seen. I do sometimes have to turn
it on again on my machine, but it comes up on the list under View/Toolbars so
it is not much of a problem (although I'd like it to just stay there). I
expected it to show up with the template on her machine, but it did not.

2. On my machine, I made a subfolder for our work group templates, which
became a new tab on the template selection box. When I did that on her
machine, the new tab I expected to see did not appear, either.

If anyone has any ideas or can point me to one of those wonderful articles I
haven't found yet (I'm still looking), I'd sure appreciate your feedback.

It sounds like you created a template, and created a toolbar, but the
toolbar is not saved in the template. Unless you specified that the toolbar
was to be saved in your template, it probably got saved in your normal.dot
file.

Use Tools > Templates and Add-ins > Organizer to open your normal.dot on one
side, and your template on the other. Copy your toolbar and any macros into
your template and save it. Then send the template to your colleague. When
you're satisfied that it works, go back and use the Organizer again to
delete the toolbar form your normal.dot.


2. In general, you should be able to create a sub-folder of your workgroup
templates folder, to create a tab as you describe. You'll need to make sure
that you've added the sub-folder to the right folder. On your colleague's
machine, do Tools > Options > File Locations. Check to see where the
colleague's machine thinks the workgroup templates are, and make sure your
sub-folder is in the right place.

Hi Shauna - When I open a new blank document (Normal.dot template) the
toolbar I created is not on the list. It IS on the list for the documents
based on my template. (I created the toolbar while in the template.dot file.)
That is what has me confused.

I'll check my colleague's machine to see where it thinks the folders are.
When I saved the template as a .dot on her machine the other day, Word put it
where I thought it was going to put it. I checked to be sure and there it
was - right there in the same place as Normal.dot. That is the folder where I
made the subfolder that did not show up. So I am still puzzled there, too.

Any other suggestions? I am reading the article you recommended.

If she opened the attachment as a document and then saved it as a template,
I think it would be stripped of some features from the original template; I
haven't tried it. Did she save your attachment directly to her hard drive in
the location designated as her user templates folder? For more on the
