Sharing specific folders within a Workspace

Suzanne Slade

Hi

We have the workspace set up on sharepoint for a specific project, is there
anyway I can only allow access to specific "folders & lists" within the site.
The closest I can find is allowing read only access, however this still
enables access to all of the documentation?

I am not aware of any out-of-the box functionality that would allow you to
do this since it is site-level access in Project Server sites. You might
want to post on development group to see if anyone has developed a custome
tool to allow this to be done.

Hi Suzanne,

You wouldn't be able to remove Project Server users or change the
permissions at the Project Site level, since they would be re-created
when the project sites are automatically synchronized. For example, the
Project Site level would be:

http://<SharePoint>/sites/projectserver_101

But you could create a new site (sub-site) under the project site level
and then define the unique permissions. For example, the Project Sub-
Site level would be:

http://<SharePoint>/sites/projectserver_101/private

You can however define the permissions to the SharePoint objects and web
parts such as documents library, risks and issues list. For example,
access the Project Site for project 101 as Administrator:

http://<SharePoint>/sites/projectserver_101

1. Then click "Shared Documents" in the side navigation bar.
2. In the Shared Documents page, click "Modify settings and columns"
3. In the Customize Shared Documents page, click Change permissions for
this document library link.
4. In the Change Permission: Shared Documents page, check the Site
Groups that you want to either a) remove or b) edit permissions from the
Shared Documents library.
a. To remove the Site Group, click Remove Selected Users and click
OK and you're done
b. To edit permissions, click Edit Permissions of Selected Users.
5. In the Change Permission: Shared Documents page, select the Standard
Permission you want the Site Group to have or click the Advanced
permissions link and select the Advanced permission(s) you want the Site
Group to have and click OK.
*Note: You will need to have at least one permission selected an.
6. In the Change Permission: Shared Documents page, notice above the
action bar that it states, "This document library has unique permissions
that are not inherited from the parent Web site."

What this means is that you have stopped inheriting the permissions at
the site level and using custom permissions. This also means that even
when an automatic PWA/WSS synchronization takes place it will not re-
create the default Project Server site groups for the document library.

Personally I think this is your best option.

Good luck and let us know how it turns out.
