Show auto complete

K

kevs

I was really getting annoyed with Word entering or trying to enter names
from my Entourage address book, so I turned off "show auto complete".

But few days later, one thing I devised years ago, to autocomplete,
"Sincerely,...........my name...." would not come up.

So I went back, and it seems to be you can't get this feature ala carte
correct? Its either you get the contacts and what you create and want
together or none at all, correct? Thanks!

True.

I use an OnTime macro to run this sub by John McGhie every 5 minutes
to clear out the autocorrects:

Sub RemoveContacts()
' Removes Contacts from Normal Template
' Macro written July 4 2002 by John McGhie
Dim anAutoText As AutoTextEntry
Dim i As Integer

With Application.NormalTemplate
For Each anAutoText In .AutoTextEntries
If Left(anAutoText.Value, 9) = "* CONTACT" Then
anAutoText.Delete
i = i + 1
End If
Next anAutoText
If Not .Saved Then .Save
Debug.Print Str(i) & " contacts deleted"
End With
End Sub

Hi Kevs,

An alternative/addition to J.E.'s solution is to create an AutoCorrect entry
for "Sincerely....". For instance, you could use "kev" (or whatever else
makes sense to you) to trigger "Sincerely....".
Beth--thanks, but:
I don't think that will work. I just looked and it seems autocorrect is
about replacing on word for another. What I have set up now, is that I type
in these four characters: Sinc
And the this comes up:

Sincerely,

Kevs

You see? This required two lines of text and three lines of blank space, so
that workaround wont work, correct?

JE:
What does that macro do? Don't really understand. Is it available for
download . Anyway, what I need is for my auto complete to work, but not
show me the annoying tips for contacts. Thanks!!!!!!!!!!!!!!!

With Beth's suggestion, you create the autocorrect for the word
Sincerely (or any other text, say Sinc). Then when you type that
word with a space or punctuation character after it, the text in the
autocorrect is substituted for it. For instance, you type

sinc<space>

and

Sincerely,

kevs

appears. Just as easy if not easier than autocomplete. To create
that autotext, type the Sincerely...kevs with the appropriate
spacing and select it. Choose Tools/Autocorrect, and enter "sinc"
(or whatever) in the left hand textbox of the autocorrect dialog.

The macro removes all the contacts from the autotext list (which is
what autocomplete uses to match against). It's not available for
download, but you can paste it into a module in your Normal template.

This stuff gets real confusing real fast.

What weird is I made up something years ago -- don't ask me where or how --
in which when I typed sinc, I would get:

Sincerely:

Kevs

Now I just looked everywhere for it cannot find it now anywhere, but it
still works! But like I said, if I uncheck autocomplete box, then it will
not work.

I don't think I can do what you said in autocorrect, because in the replace
box, you cannot add spaces, If you try to, and press your return button to
get those 3 blanks spaces -- it just activated the blue ok button and the
whole dialogue box is dismissed.

How do you paste a macro into a module? That¹s a bit over my head.
Thanks!!!!!!!!!!

Kevs,

I'll just stick to clarifying Beth's AutoCorrect suggestion (I'm only
joining in because it's morning in Australia and most people are asleep in
your part of the world -- but maybe you're starting to lose sleep over
this!).

The AutoCorrect option really is the way to go. The step you are missing in
creating an entry as Beth suggested is to type:

Sincerely:

Kevs

in the *body* of the document, not in the AutoCorrect window. Then you
select this text (with or without the final paragraph mark -- it works both
ways). Then Tools menu -> AutoCorrect -> AutoCorrect tab. You'll see
"Sincerely:" in the right-hand field (you won't see the rest of the entry,
nor be able to scroll the field; on this occasion -- and I admit rarely
having said this before -- trust Word. You'll also see the "Formatted" radio
button is selected. Type "kevs" in the left-hand field -> click "Add" button
-> OK.

Now type "kevs" in your document and follow it with a space or a punctuation
mark.

I use AutoCorrect to expand many terms that I use frequently.

If you follow this to the letter, I confidently expect to hear "Eureka"
faintly on the breeze if I put my head out of the window!

Thanks Clive:
I printed out your instructions and went to work. A Couple of points:

1) For the radio buttons, there is plain text and formatted text, and they
are BOTH GRAYED OUT.

2) Also, in this autocorrect tab, I do not see and ADD button anywhere as
you described. I only see a REPLACE AND DELETE button.

3) Type "kevs" in the left hand field. What does that mean, "in the left
hand field" Does that mean in the "replace box" ?

Thanks!

Okay, Kevs, let's try again. See below.

Thanks Clive:
I printed out your instructions and went to work. A Couple of points:

1) For the radio buttons, there is plain text and formatted text, and they
are BOTH GRAYED OUT.

Did you follow Clive's instructions to FIRST type "Sincerely, <spaces> Kevs"
in a Word document and then SELECT it? When you do this first and THEN open
the AutoCorrect dialog, you will see "Sincerely," followed by a blank line
*already inserted* in the With pane and you'll see that Formatted Text is
already active and checked.

You will also see that the Replace pane is active with the cursor in it.
Type "kevs" (or "sinc" if you prefer) in the Replace pane. DON'T DO
ANYTHING to the With pane; it's already done for you.

Now click Add which will have become active the second you typed something
in the Replace pane.

Take a look at your new entry in the list below. You'll see that the new
entry "kevs" (or "sinc") will be replaced with "Sincerely,****kevs". Each
asterisk represents a space. (There are four spaces in my example.)
2) Also, in this autocorrect tab, I do not see and ADD button anywhere as
you described. I only see a REPLACE AND DELETE button.

If you only see Replace and Delete buttons, it's because you have selected
one of the already-existing entries in the AutoCorrect list. Quit out of
AutoCorrect and open it again. If both the Replace and With panes are empty
(as they should be if you haven't selected any text in the open document
yet), you should see grayed-out Add and Delete buttons.
3) Type "kevs" in the left hand field. What does that mean, "in the left
hand field" Does that mean in the "replace box" ?

The only left hand field that exists is labeled Replace so, yes, "left hand
field" means the "replace box".

Thanks Beth:

That seemed to clear things up a lot, just 2 things.

1) It does not work if my cursor in in the middle of the page. This is
where I usually do the sincerely thing... I put sincerely in middle page,
but then Word puts the kevs at the far left of page, instead of right below
it.

2) I had it perfect as an auto complete thing, but of course, then I got
the tool tip thing which generated this thread in the first place.
Actually, I just deleted it as an auto complete item, and have not been able
successfully recreate right there as well.

Kevs,

I think you need to experiment a bit more than you are doing. Did you
select the paragraph mark after the last letter in your AutoCorrect item
(presumably "Kevs")? -- I mentioned this as one of the two options, but
could not be more specific because I did not know about your additional
formatting requirement you have just advised.

That paragraph mark -- as with all paragraph marks -- controls the
formatting of the "paragraph" in which "Kevs" appears, including any
paragraph indenting, centre alignment or whatever device you have been using
to put your sign-off in the middle of the page. Without it, the next
paragraph mark in the document determines the paragraph formatting, and I
presume that's left-aligned in the case of your document.

If that does not fix your problem, experiment more before posting back --
it's amazing what you'll discover, and anything you do wrong can always be
undone! If posting back, you'd need to be more specific about the problem
as it exists.
