Simple Accounting

All I want to know - and nobody I know of seems to be able
to help me - is: Is it possible to link a simple
accounting programme with an Access database so you can
send out invoices, receive and post payments to individual
members and generate reports. I am developing (sort of) a
membership programme for my local chartered club and seem
to have hit a brick wall - or a brain block.

If it is possible - where would I find out how to do it -
cost is not a problem.

I am not sure where you are from but I'm in Australia and run a food and water testing laboratory. I had a similar problem, but on a much larger scale

I have spoken to the MYOB and Quickbooks people and you can export the necessary data but it requires a lot of manual work

You can purchase a MS Access Accounting program called "Business!" from DatabaseCreations" - you get all the code for all the tables, queries, forms and reports etc. You can then either get them to help you with the code to export the data to Business! or you can set up your own set of queries and load them into a macro as I have done and in one button click its all sent. Then you just open Business! and print all the invoices for that day

There is a lot of designing to do with field sizes and append queries etc and if you are not doing over 20 invoices a day I would strongly suggest you go buy any accounting software (including Business!) and do it all manually

- build a membership database that can work with your accounts program
- add bookkeeping capabiltity to your membership database
- something else?

membership database preferably although at a pinch find an
accounts program would be the second option

Not sure whether I did the right thing with the last e-
mails but I would prefer to add the bookkeeping capability
to the membership database or failing that find a
compatable accounts program

This, or a similar, application might be the most viable. I have worked with the
precursor to "Business!" (it was called "Yes, I Can Run My Business!") for
several years and currently have an installation where a membership database and
"Yes, I Can" share the same member (customer) records (the member name, number
and basic information exist in the accounting package and the membership
application is linked to the customer table for display in its own form), making
for a direct relation between the member and any accounting matters related to
that member. Members can be entered from either application.

We are also in Australia and we are about to release a Small Business app
called Jackaroo SB which will include linking and as we are also from NZ
(and with an Associate in Auckland) we may be able to help. See
http://jackaroo.net.au and perhaps we could include in SB's release
something that will fit your needs.

Incidentally, are the All Blacks still going :)

If you need anything more than the ability to generate invoices and
track whether or not they've been paid, I think it would be simplest to
do as Bruce and Glen suggest and get an bookkeeping/accounting program
that can share data with Access.
