Single line spacing on Entourage and Mac mailfrom Word 2008 for mac?

I've successfully changed my paragraph settings on word 2008 to remove the extra line spacing though when i paste copy into both Mac mail and entourage I now get double lines inserted on each paragraph break.

any tips on how to solve it?

I'm not quite sure what you're asking.

In Word, we need to distinguish between a "line", and a "paragraph".

A line is just a string of text, which may or may not contain a line-ending
character.

A paragraph is a property container, which contains or references some 255
different formatting properties, and may or may not contain text characters.

If you create some paragraphs in Word and paste them into Entourage, you get
this:
This is a line of text in a word paragraph
This is a line of text in a word paragraph
This is a line of text in a word paragraph
This is a line of text in a word paragraph

If you graunch the formatting of the Normal paragraph in Word to remove the
space after, you get this:
This is a line of text in a word paragraph
This is a line of text in a word paragraph
This is a line of text in a word paragraph
This is a line of text in a word paragraph


However, if you then hit TWO paragraph returns at the end of each line in
Word, to put in the space after that you have now removed, you get this:

This is a line of text in a word paragraph

This is a line of text in a word paragraph

This is a line of text in a word paragraph

This is a line of text in a word paragraph

Is that not what you expected?

We need to remember that a "paragraph" is not a line. A paragraph contains
formatting, including spacing and indents and font formatting and bullets
and numbering.

When you paste a paragraph into another document or another application, the
formatting of the pasted paragraphs receive the characteristics of the Style
in use in the destination. It the above case, the style was "Normal" in
both cases.

as i mentioned i changed my settings to make the word 2008 settings that same as the word 2004 program: so in the word file two paragraphs look like this

This is a line of text in a word paragraph.
This is a line of text in a word paragraph.
This is a line of text in a word paragraph.
This is a line of text in a word paragraph.

This is a line of text in a word paragraph.
This is a line of text in a word paragraph.
This is a line of text in a word paragraph.
This is a line of text in a word paragraph.

which is perfect, BUT when i paste this content into entourage it reads:

This is a line of text in a word paragraph

This is a line of text in a word paragraph

This is a line of text in a word paragraph.

This is a line of text in a word paragraph

The examples I sent were all produced by pasting from Word 2008 to Entourage
2008.

The key is: Entourage removes the spacing from a paragraph when you paste
it. But if you use "blank paragraphs" to produce the spacing between text
paragraphs, Entourage (and anything else) will give you blank paragraphs
when you paste.

So I am not at all sure how you are producing the problem! If you click
your Show/Hide button in Word so that you can see your paragraph marks, you
may be able to see the problem. I think you have more than one paragraph
mark between each line. It may be that you have a small font set on a wide
line? By default, Entourage¹s line height is 12 points, and I don¹t think
you can reduce it.

Sorry: I just don¹t know how you are managing to paste line-spacing into
Entourage? Maybe I am going blind {mutter...}

It's not actually double-spacing that is the problem. Word changed the
default to add more space between paragraphs, so that each paragraph
will be single-spaced, but between paragraphs, you get extra space.
Paragraphs are created every time you hit enter.

To change in just this document, select all, go to Format | Paragraph.
Look down to the find the Spacing: After field, and change 10 to 0.

To change this in all documents created from now on, change the Normal
style.

First, select Format | Style. Normal should be selected.

Click on Modify--make sure "add to template" is CHECKED. You'll see a
Format menu in the bottom of the dialog--select Paragraph from it, and
change the Spacing: After setting from 10 to 0.

Yeah: That's what I thought you were doing.

So now I really cannot understand why Entourage would give you extra
paragraph spacing.

You are just copying paragraphs in Word. Each paragraph may contain one or
more lines.

Then you simply "paste" into Entourage? And you are getting multiple
spacing between paragraphs.

I don't understand how that is getting into Entourage. When I try it here,
Entourage cannot "see" Word's paragraph spacing.

Maybe someone else can help?

but with the leading changed to zero before copying. The result is the
equivalent of both having "double paragraph marks" and paragraph leading --
i.e., removing the leading in Word has had no effect.

To correct it, I either get in and back-space (3 times, I think, because
Entourage puts in a space (= one space-bar action) as well -- or for longer
swags I paste into TextEdit and copy from there.

As to why: search me, mate!

Hi Diane,

That article definitely needs updating. It was for Word X and we're talking
about Word 2008. The latter does not insert extra spaces with copy/paste
into Entourage 2008 (whether plain text or HTML). And for that matter, I'm
not sure that Word 2004 does either.

Anyway, Jonty, that article won't help you.

Can you send me the document that you're doing the copy and paste from? Or
if there's confidential info in it, can you make a "dummy" doc and send it
instead?

I'd like to take a look at the formatting and also see if I can replicate
the problem in my setup.

Be sure to put the exact same subject line as above in the subject line of
your email so it doesn't get lost in my spam folder. Send to
(e-mail address removed) but remove the BOGUS.

One more thing: your subject line mentions both Entourage and Mac Mail.
Your responses to John were referring just to Entourage 2008, weren't they?


P.S. to those reading this in the Entourage newsgroup: Jonty is posting
from Mactopia and I have a nasty feeling that the Matopia forums don't allow

Yeah, I knew it did it coming out of Word 2004 into Entourage 2004.

But in my testing, it DOESN'T do it coming out of Word 2008 into EITHER
Entourage 2004 or 2008.

That's why I can't work it out :)
