Specifying Destination Formatting Automatically

J

Joseph N.

[Word 2002/XP] I frequently copy three bits of information from
the first page of a document to the header of the subsequent
pages. (The data is new with each document, but the locations of
the data on the first and subsequent pages is fixed.) I've been
using the Office Clipboard, since I seem to be unable to master
the appropriate fields to shoot the data automatically to their
destinations. The font size is different in the headers than on
the first page, though, requiring me to open the offered smart tag
and alter the default formatting. Is there a way to specify
'destination formatting' more automatically? If I were able to
use fields to reproduce the data, would there be a switch to force
destination formatting?

You can manage these three bits of information in several ways according to
taste, including:

1) use built-in or custom document properties (my preference). You enter the
information once using File > Properties, then show the information in the
document using DocProperty fields.

or

2) On the first page of the document, format each bit of information with
its own style. You can then refer to the information elsewhere using
StyleRef fields.

or

3) Bookmark each bit of information on page 1, and refer to the information
elsewhere using Ref fields.

In all cases, you can pre-format the subsequent page headers so the whole
thing updates automatically and looks as you want. This is what templates
are for.

Jez,

I don't know about the custom document properties; I will try that
out, thanks. The other avenues--StyleRef and Bookmark/Ref
fields--seem to copy the data with its attributes, including font
size. Do you get a different result?

StyleRef fields won't pick up any but direct formatting; if the formatting
is applied by the style, it will not be picked up.

Jezebel,

Thanks for this tip. While StyleRef works well (at first, it was
my error that indicated a problem with that technique), using the
document properties could accomplish two objectives at once. Good
idea.
