spell check

R

Rosemary

I use spell checker to correct all spelling and grammar errors and also
choose to ignore certain ones. I save the document, however the next time I
open it- the same errors appear. Why are my changes not saving (Word 2007)?

Also, I converted the document from Word 2003 (saved with a different name)
and the same things happens to that one as well. This is a manuscript 300+
pages and it's very annoying to have to run spell check every time I open the
file. How can I fix this?

Thanks- Rosemary

I think "Ignore" may be a per-session setting. A more permanent solution is
to define a character style as Default Paragraph Font + Do not check
spelling or grammar and apply that to text you don't want spell-checked.

Herb Tyson [MVP]

Using Word 2007, "Ignore" is saved from session to session. That information
is saved with the document. So, for example, if I save a .docx file and
re-open it later, the ignored misspellings are still ignored. They're also
ignored if I open that same document using Word 2003 (Compatibility Pack),
or even if I open that same document on a different computer, using Word
2007 or Word 2003 (assuming the compatibility pack is installed on that
other computer).

It's also retained with a .doc file -- regardless of which version of Word
I use to open it.

I've never encountered a situation where "Ignore" wasn't retained. I guess I
would begin by opening Word using the /a switch (start - winword.exe /a) or
in safe mode (hold down Ctrl as Word is starting, and click Yes to starting
in safe mode).

Suzanne S. Barnhill

I haven't made a scientific study of it, but my experience has seemed to
suggest that "ignoring" didn't survive a save and reopen. I could be wrong.
The only document in which I really had issues was a piece of fiction that
had a lot of really odd proper names (people and places). If I were doing it
today, I'd define and apply a "(no proofing)" style, but when I was working
on this document, I didn't know about that, so I just kept ignoring them.
Eventually Word got fed up and told me there were too many spelling errors
in the document and it couldn't check spelling as I typed any more (this was
on an older, underpowered machine running out of HD space).

Herb Tyson [MVP]

When I saw the thread, I checked to see what Word did here... and I learned
what I reported. It would be interesting to see if my experience is unusual.

To reset the "ignored" so that Word will re-check them, I have to click the
Recheck Document button in the Proofing section of Word 2007's options
(there's a corresponding option in Word 2003).

Rosemary... you might check to see if the problem exists only for that
document, or if it exists for other documents as well. Try creating a new
document with some deliberate spelling mistakes, then exercise the speller
and choose Ignore.

Then save/close/reopen that document and see if Word remembered the Ignore,
or if amnesia has set in.

The fact that the Recheck Document button exists does suggest that there has
to be a way to turn off "ignoring," though of course that could still be
within a single session. As I said, however, I suspect that the problem I
experienced was just with a general overload of "misspellings" and probably
also a basic understanding of how spell checking works (since remedied, at
least to some extent).

Rosemary

I tried all of the suggestions and it appears that I have to "save as" each
time or the spelling & grammar changes don't actually save from session to
session. I've written 3 novels and it's very annoying that Word keeps
rechecking the same grammar mistakes I choose to leave in. One thing I
noticed with Word 2007- the "ignore once" button. All the other options are
grayed out so everytime I open my books I have to ignore those words all over
again. Any suggestion to ignore permanently?

One more thing- this just happened today. I cannot add a header AND a page
number to my books. When I add the header and save, then go back in to add
the page numbers- it deletes the header and adds the number and visa versa.
Any suggestions for this? Thanks for your help!

It really sounds as if you have a corrupted Data key in the registry, and
perhaps a corrupted normal.dotm as well. To test this... if you start Word
with the /a switch (Start - Run - winword.exe /a), do you still encounter
these bizarre quirks? If starting with the /a switch makes any or all of the
problem go away, then try deleting the Data key and renaming normal.dotm.

There is no tools menu (that I can find) in Word 2007. However, I did go into
the spell check options/grammar and I don't see where I can change from
standard to casual. I couldn't find anything in the help menu about this.

H

Herb Tyson [MVP]

Standard/Casual and a few other options were available in some earlier
versions of Word, and if you upgraded along a certain path, those options
even appeared as recently as in Word 2003 (but not if you did a clean
install of Word 2003). They are not present in Word 2007 at all. Instead,
Word 2007 offers Grammar Only and Grammar & Style, as major "sets". You can,
of course, click Settings and pick and choose as desired.

Suzanne S. Barnhill

I have an upgrade install of Word 2003 and don't have Standard, Casual,
etc., just the choice you describe for Word 2007 (and that's the way it's
always been in that version for me). IIRC, it was that way in Word 2002 as
well.

S

Suzanne S. Barnhill

That article suggests to me that the Grammar vs. Grammar and Style choice
(as opposed to Standard, Casual, etc.) is the only choice in Word 2002,
2003, and 2007, just as I assumed.

It might even be that the options *can* appear in Word 2007. I haven't seen
them, but that's no guarantee, since I haven't put Word 2007 onto a system
with the necessary upgrade sequence.

That's not correct. Those are the only native choices in Word 2002-2007.
However, if you had an earlier version of Word installed, then the
additional choices show up. See the note following item 6:

Note If you upgraded from an earlier version of Word, Name entries will be
defined as casual, standard, formal, technical, or custom, rather than as
Grammar and Style or Grammar only. In this case, the registry will have
Option Set 0 through Option Set 4 subkeys, which correspond to each of these
writing styles.

I was forgetting that Office XP came installed on this machine (even though
I had ordered it with Office 2000, but that's another story), so in fact
Word 2002 was not an upgrade install.

It might even be that the options *can* appear in Word 2007. I haven't seen
them, but that's no guarantee, since I haven't put Word 2007 onto a

I have an upgrade install of Word 2003 and don't have Standard, Casual,
etc., just the choice you describe for Word 2007 (and that's the way it's
always been in that version for me). IIRC, it was that way in Word
2002
as
well.

Herb:

It's still happening. Spell checker (Word 2007) shows the same errors (the
ones I've chosen as an "ignore rule") every time I open my novel. There are
also certain words I've chosen to keep (like using you instead of your) that
come up with only the option to "ignore once" (all the other fields are
grayed out). How do I stop spell-checker from doing this every time? Thanks!
