Spelling & Grammar

Using Word 2003 to produce letters using data from a mainframe system - if
text is added to the document when letter is completed, some of it will
highlight spelling & grammar mistakes, but some areas of the template do not
highlight mistakes.

All the template, including headers and footers have been marked with the
spelling & grammar unchecked, however, when the template is complete, the
area where mistakes are NOT highlighted, shows as DO NOT CHECK FOR SPELLING &
GRAMMAR.

The formatting options are part of the formatting of the text you have
inserted. Whether or not the spelling option is checked will depend on where
the text came from and the style at the cursor when it was entered. Select
the text and change the option as required.

Thank you for your help. I have revisited the document and all the text is
set up with the same style and format and with "Do not check spelling &
grammar" unchecked.

Most of the document is o.k., however, when it reaches a paragraph with an
IF statement at the start, although the paragraph etc is set up correctly the
spelling & grammar check does not work. If I remove the IF statement then it
does work.

Do you know if this is a problem with using IF statements in documents and
if it is possible to solve it?

If you mean the entered result of a conditional statement, then spell check
does not apply within fields by default. You can apply the language
parameter to the resulting text, but I know of no way to insert a field and
have it spell checked automatically.
The best you can do is run a macro on the completed document
eg

With Selection
.WholeStory
.LanguageID = wdEnglishUS
.NoProofing = False
Application.CheckLanguage = False
End With
