Standardizing Bullets and Headings

D

David

Morning,

Lately I've been transfering and working on a lof my mac documents
(Word X) on PCs, or cutting and pasting PC word documents into my Word
X file.

I've noticed two things which I'd like to change.

1) When I cut and paste I'll import a bunch of 'Styles' like Heading 5
or Heading 9 that I don't want. Sometimes, it will even change my
Heading 1. Is there any way to lock out importing of styles, though
hopefully continue to allow formatted text (italics, etc).

2) I have a lot of problems with bullets. I again want a standarized
look to my bullets. So the first indent of bullets should all look a
certain way, and then after hitting tab once they should all look a
certain way.

I have HUGE problems with this. Right now when I hit the tab button I
get a big square tab without any indent, and when I try to indent the
list, I cannot do it.

Any help would be greatly appreciated.

David,

My comments are based on Word 2001; I don't have much experience of X yet.
See as follows.

Sometimes, it will even change my
Heading 1.

Your last sentence is capable of a few meanings. I'll take it that a Heading
1 in the pasted text does not have the same appearance as the pre-existing
examples of Heading 1...

[In Word 2002 (or is it 2003?) on the PC, I understand you can nominate
pasted text to take on the characteristics of styles in the source document
or the target document. Something to look forward to in the next Mac Word
version, I expect, or you may have that version on the PC, perhaps?...]

Word is a styles-based word-processor (i.e., styles are at the very core of
it), so you can't get rid of styles. All you can do is change them.

Other than as shown below (Paste Special option), the best option you have
is to update the styles in the document you paste into. After pasting all
the text, choose Tools menu -> Templates and Add-ins -> click the button to
attach the document to the desired template (most beginners attach to the
Normal template; most advanced users rarely use it, but that's another
story) -> tick "Automatically update document styles" -> OK. Then go back in
and de-select this option if you want to (you have more control in future
that way). Your definitions of these styles will now be present in the
document.

For shorter bits of text, dropping in the insertion point or selecting text
if more than one paragraph and keying Command-Option-q will strip the
formatting back to the characteristics of the underlying style. The
equivalent command for stripping fonts back is Control-spacebar.

Is there any way to lock out importing of styles, though
hopefully continue to allow formatted text (italics, etc).

After copying, you can choose Edit menu -> Paste Special -> Unformatted
text. That will remove all formatting (unfortunately, manually applied
formatting too, and the style applied to each paragraph will be the style of
the paragraph in which your insertion point is located.

You'll find some coverage of this subject under the heading "Document from
someone else ‹ checking formatting of" on about page 84 of my notes on the
way I use Word, called "Bend Word to your Will", downloadable at
www.mvps.org/word/FAQs/WordMac/Bend/BendWord.htm
2) I have a lot of problems with bullets. I again want a standarized
look to my bullets. So the first indent of bullets should all look a
certain way, and then after hitting tab once they should all look a
certain way.

I have HUGE problems with this. Right now when I hit the tab button I
get a big square tab without any indent, and when I try to indent the
list, I cannot do it.

I'm sorry, your information isn't clear enough for me to understand the
problem, and I think the "hitting the tab" option might be a feature that's
new in Word X. Somebody else might be along soon to help.
Any help would be greatly appreciated.

for you to back up your Normal template and all your Word settings files?
(This should be on a medium other than the internal hard drive and, if you

building.)
