Strange indexing problem

K

Kirk

I have been trying to index a document this weekend, but when I generate the
index entries that I've entered in precisely the same way are listed uder
separate headings. So I end up with something like this

Platonic
homonymy 32

Platonic
homonymy 56

When I ought to get something like this

Platonic
homonymy 32 56

I've checked the entries and as far as I can see they are all the same, no
extra spaces no additional characters. I need suggestions to correct this
problem quick.

Hi Kirk,

Are you using a concordance file or creating XE fields yourself?

Index fields are also case sensitive, I think. Can you post the exact text
of some of the XE fields that the document shows, the ones that are not
getting combined?

See if generating, then updating the index field does anything different.

What version of Word and OS?

Totally wild guess:
ON A COPY of your doc, try the standard corruption fixes, just in case the
problem is with the document.
http://word.mvps.org/Mac/DocumentCorruption.html
Then see if the index in that copy behaves.

I am entering th XE fields myself.

Here is the generated problem(s).

Not all of the subcategories are the same, but they ought to all be listed
under "Platonic."

This is the entered XE for page 56: { XE "Platonic:eponymy, theory
of:homonymos, use of }. I can't show the markings for spaces, but you get
the idea.

This is the entered XE for page 57: { XE "Platonic: eponymy, theory

I don't understand why there is a separation of the categories. Thanks for
your help.

Hi Kirk,

That's probably Windows XPSP2.

This here is actually a group for Word for the Mac, so I'm going to send you
to the regular Office newsgroups.
http://www.microsoft.com/office/community/en-us/default.mspx
You might get an answer here, but probably faster there.

Post your question in one of those groups--you might include the information
I asked for right off the bat in your initial post.

Daiya

PS. I actually do see a difference in the two fields you included--the
second one has a space after the first colon. Not sure whether that would
cause the problem.

Also, the fields seem to be missing a closing quotation mark. Again, not
sure whether that would cause a problem.

If you want to try uncorrupting a COPY of your document, the fixes for
WinWord are here:
Try the Save as Web Page method.

Hi Kirk:

XE tags are both case-sensitive and space-sensitive :)

You can't have two sub-entries in the same term. { XE "Platonic: eponymy,
theory of:homonymos, use of } needs to be { XE "Platonic: eponymy, theory of
} { XE "Platonic: homonymos, use of }

You need a tag for each subentry.

Cheers
