Style changes

Im not sure if i am posting this question in the right
option. If someone can help me here. Actually when I
format document I notice that there is text with all
different styles. And I have to spend hours to format it
before I convert it in to PDF files. Why is it so? Why is
the text in all different styles. Is it because they copy-
paste a lot. It also hard when TOC is created.

I am new to do this kind of work so I dont know very well.
Any help appretiated

In my experience it's because one or more users who don't
understand Word have worked in the document and yes,
copied and pasted and who knows what else. The best way
to approach it is print it out so you have a guide for
how it should look, get rid of all the styles in the
document and then apply the styles you want.

I think another cause of documents with seemingly random application of
styles is from users to have left their AutoFormat as you Type settings
on. Word tries to guess what you're typing, and can find itself applying
styles like Heading 5 and Heading 6, or Caption to paragraphs just
because the user chose to put the text in bold.

The cure (for those who are creating the documents, not those who must
clean them up!) is Tools > AutoCorrect Options > Autoformat As You Type.
Un-tick everything in the "Apply as you Type" and "Automatically as you
type" sections. The one exception might be "Set left- and first-indent
with tabs and backspaces", since it does no harm and people rely on it.
