Styles - Numbering

Beth

I am trying to set up a legal document using multi-level numbering (article,
section, etc.). The numbering needs to be attached to Heading, 1, Heading 2,
etc. to create a TOC. However, the second level (i.e. section) needs to
appear on the same line as the following text. If I use hidden text to hide
the paragraph marker between Section and text, I lose my numbering. Not
having much luck with the style separator either. Any help would be
appreciated.

Which version of Word? If you are using W2007 or W2003, the numbering should
stay whether you use the the style separator or the hidden paragraph mark.
It did not work as well with W2002.

Sorry about that. I'm using Word 2007 in compatiblity mode. While
researching the problems with the document I noted earlier, I've been reading
"TOC Tips and Tricks" by S. Barnhill. I note that I don't see the "Outline
level" option when I launch the paragraph group nor do I see the "Show
Outling Toolbar" button in the TOC dialogue box. Is this due to running in
compatibility mode or are there changes I can make under the office button to
have these items available?

There won't be a "Show Outline Toolbar" button because there are no toolbars
in Word 2007. I do see "Outline level" in the Paragraph dialog, but it is on
the left rather than on the right as in previous versions, so perhaps you're
overlooking it?

Sorry to be late replying, busy working, thank heavens.

I can't duplicate your problem with either the hidden paragraph mark or the
style separator. Here's how I apply the style separator:
Type and style both lines as separate paragraphs. Place the cursor in the
first paragraph and click the style separator icon (which you'll have to add
to the QAT) or press Alt+Ctrl+Enter. The second line will immediately move
to the end of the paragraph above it. Multilevel list numbering will be
retained on the paragraph the style separator was applied to. Unfortunately
if the second line was also autonumbered, its number will not be kept. To
get even spacing, make sure the space after style setting for the two styles
is the same. I

To use a hidden paragraph mark:
Type and style both lines as separate paragraphs. Show nonprinting formatting
marks (press the ¶ on the home tab). Select the ¶ at the end of the first
line and go to the font dialog (home tab > font group launch arrow (lower
right)) and put a check in the box before "hidden". The multilevel list
numbering on both styles will be retained.

Using the style separator is faster, but when there is formatting that
affects line spacing, such as superscripts, W2007 has sometimes can't keep
the line spacing even. I use the hidden paragraph mark for the troublesome
paragraphs.

Does that help?
