Team Assignment

Hi,

In PWA 2007, in the edit user are under Resource Center, I am editing a
users details to add them the the Team Resource Pool, by checking the box
(which I can do) and then trying to type a name in the Team Name box (which I
can not), as per the instructions in help.

I presume I am not doing this the correct way. Do I have to create a Team
as a resource before I can pick a team for a user?

Any suggestions or help for creating a team and linking it to a resource
would be great.

Tony --

You are doing this totally wrong, but in your defense, this is not intuitive
in the least. Assuming you are the Project Server administrator, here's the
process you must do to create and use Team resources:

1. First, you must add a new enterprise Lookup Table called something like
Teams.
2. You must add the list of teams in your organization to this new Lookup
Table.
3. You must then modify the Team Name built-in enterprise field to include
the Teams lookup table.
4. After doing this, launch Project Professional 2007 and log into Project
Server.
5. Click Tools - Enterprise Options - Open Enterprise Resource Pool.
6. In the Resource Center page, select the names of the people who will be
part of a particular Team.
7. In the Resource Sheet, add the name of the new Team resource, such as
DBA Team1, or something like that.
8. Double-click the name of the new Team resource.
9. Select the Generic option in the Resource Information dialog and click
the OK button.
10. Right-click on the Type column header and insert the Team Assignment
Pool column.
11. In the Team Assignment Pool column for only the new Team resource,
select the Yes value.
12. Hide the Team Assignment Pool column and insert the Team Name field.
13. Select the correct team name in the Team Name field for the Team
resource and for each of the human resources that are part of the designated
team.
14. Save and close the Enterprise Resource Pool.

Is it possible to add one human resource to multiple team resources?
Some people will work in different teams.

No, this is not possible. The Team Name field does not allow multiple
values, therefore, you can only assign one Team per resource. Hope this
helps.

When you are defining the lookup for Custome field Definition: Team name, is it a one time entry.
We have the 'Task status' lookup set for this (probably by mistake) and is not allowed to change the lookup table?
Any suggestions to overcome this are most thank-fully welcome!

Dale - in your instructions (which worked perfectly, by the way,) you did not
speak of the option in the Add Resource page where you can make that member
be a part of a team. I am assuming the act of assigning the resource to a
team on that web page is the same as if you were to follow step 13?

Yes, you are correct. You can specify resources as part of a Team resource
from either the Resource Center page or by opening the Enterprise Resource
Pool and doing it there. I prefer the latter because I can use the Fill
Handle feature to "drag" the value from one cell into a block of cells, but
that's just my preference. Either way should work just fine. Thanks for
asking for the clarification!

Thanks Dale. A couple followup questions:
* Does everyone on the team receive a notification that an assignment has
been established? If no, what's the best way to do that from Project Server?
I'd like to avoid creating group emails on exchange to get around this, but I
will if that's the only option.
* Who do I make the actual assignment to? The generic team resource, or the
"team lead" as Microsoft calls it on this page:

* I am assuming that if I want to go to Resource Center and view assignments
for particular members of the team, I will not see each person assigned to
that same task? I'd bet this is by design by Microsoft so that capacity does
not look like heavy allocation for multiple people on one task. Would I only
see the assignment in Resource Center after (and if) a resource self-assigns
the task?

1. I that the resources represented by the Team resource DO NOT receive the
e-mails from Project Server 2007. However, right now I do not have the time
to experiment with this. If you have the time, try it, and let me know if
they do or do not receive the e-mail messages. If they do not receive
e-mails about their Team assignments, then you would need to handle this
programmatically.

2. You assign the Team resource to the task. When you publish, the
software displays the Team assignment on each resources Team Tasks page in
PWA. From there, one of the team members can self-assign the task to take
over ownership of it. At that point, the Team assignment disappears from
each resource's Team Tasks page.

3. Regarding Microsoft's instructions, I really do not understand what they
are talking about. If you figure it out, let me know! :)

4. You are correct about the assumptions that Microsoft makes about the use
of Team resources. If you are looking at Availability information, I think
you will be disappointed in the results. :(
