Timesheet Limitations?

R

Randy

We have user's that are receiving the message "You can view more than 1000
assignments, so this page may take a few moments to appear" message when
trying to open their timesheets. After that the timesheet may or may not
come up. We are running Project 2003 Pro. Is there a limit to the number of
assignments that can be on a user's timesheet? Seems once we approach the
800 - 1000 mark things start locking up. What can be done short of deleting
the plan to get rid of tasks? I know that we are doing some things wrong
procedurally, but this is really hampering us.

Thanks!

Are you saying that team members see this message when they navigate to
their View My Tasks page? If so, how can team members manage 800 to 1,000
tasks on their timesheets? That sounds like an extraordinarily large
number.

Or, on the other hand, are project managers seeing this message when they
navigate to the Resource Center, click the View resource assignments link,
and then select the resources whose assignments they wish to view? I have
seen the precise message you describe on the View resource assignments page.
If you were to pick the maximum of 100 resources whose assignments you wish
to view, and if each resource had 10 or more assignments, then this would
trigger the message in question.

Please let us know who is seeing this message and where precisely they are
seeing it.

Dale,

The error occurs when a PM goes to the Resource Center. However, it is
happening when selecting only one resource! I'm in the process of trying to
figure out what our PMs are doing. Looks like they are sending every task in
their plans to their resources all at once. These are multi-year,
multi-phase plans, some of which are 5000 lines. I do know that a couple of
the people having problems are RMs who are to delegate all of these tasks out.

This is preventing the user from pulling up their timesheets. System seems
to hang and they get a blank screen.

What's the best way to correct this? Seems like the only way to remove all
these tasks is to remove the plan from the server, delete it off the server,
import it back and mark some of the tasks as proposed.???

I think your PM's are making a huge procedural mistake in publishing all
resources assignments in these multi-year projects. To simplify things for
the team members in each of these projects, I would recommend the following
approach:

1. Save each of these huge projects as .mpp files
2. Delete each of these projects from the Project Server database
3. Import each of these projects into the Project Server database
4. Open the first large project
5. Click Collaborate - Publish - Project Plan to publish only the project
to PWA
6. Select the tasks in the current phase
7. Click Collaborate - Publish - New and Changed Assignments
8. Make sure the "Selected tasks" option is selected at the top of the
dialog
9. Click OK
10. Repeat steps 6-9 for each of the large projects

Performing the above steps, particularly steps 6-9, will place only the most
current tasks on each user's timesheets. Each time a PM needs to publish
his/her project, he/she should perform steps 5-9 every time. Hope this
helps.
