Track number of drawings needed

MS Project 2003 (11.2.2005.1801.15) SP2 Project Server 2003 SP2
I would like to have two fields to show the number of drawings and
illustrations needed for a project. This number may possibly change several
times before they are due. What are some ways this can be shown? The areas
that do these drawings are not currently resources because they do not charge
to the project in question. Their work is represented on other schedules
with LOE tasks, not detailed at this point. However, we need a baby step
toward getting them the current information for due dates and number of items
needed. Perhaps some day the LOE schedules will become details and allow for
this information there but for now is there a good way to track this?

Can this also be done by having resources named drawing and illustrations and
then give the groups of folks needing to keep up with the number of these
items visiblity somehow through permissions to see these tasks in their "my
tasks" view? I'm not sure the pros and cons of either. We do not want to
resource load them with a cost resource because they do not charge their time
to this project. Their time is kept in another schedule that is basically
LOE. However, they need to have this visibility.
