Transfer Autotext to Multiple Macs

R

RHF

I would like to transfer my Autotext entries (Word 98)on an iMac G3 OS
9.2 to 3 new iMac G5s OS Tiger (Office 2004 Standard). Can I do this
by ethernet or by copying a file or folder to a CD? Is there an easy
way to sync the Autotext information on the 4 computers, or the 3 OS
Tiger computers?

A second question I have deals with setting up a table in Word (Office
2004) to use as a data source for merging to a Word document. Is there
a way to set up the field headers vertically in the first column
instead of horizontally in the first row?

For setting up a merge letter, is there a way to insert an "ask" field
that would insert the same information (a person's first name) at
multiple places throughout that letter. I am new to using these merge
functions.

Thank you for your help.

I'm not really very familiar with any of this, but didn't want to ignore
half your question. Perhaps the better subject line will pull other
responses.

Haven't a clue. Personally, I would set the data up in Excel, though I don't
know if you can do it there either. Can you set the column as the Table
Header in Word?

I think there should be, though I haven't done it. Putting "ask merge" into
Help returned some useful results. I would do the merge in Office 2004,
though, they've been making improvements.

I'm not sure I see the point of an Ask field, though. If you are merging,
is it really that hard to put the same FirstName merge field in multiple
places in a letter? Usually I think an Ask field is used to save the manual
labor of typing the name several places (type it once, it gets filled in),
but won't the merge already do that for you?

Your AutoText entries are saved in the Word 98 Normal template, and you can
transfer them to the Word 2004 Normal template. You'll find more info and
the transfer procedure spelled out at this link:
http://word.mvps.org/MacWordNew/MacWordNormal.htm
(hit refresh a few times in Safari, or use a different browser)

However, it may make more sense to just create a separate global template to
store your AutoText, do the transfer to it on one computer, then copy that
global template to the other two computers. See here for how to do that,
and why you might consider it:
http://word.mvps.org/MacWordNew/GlobalTemplate.htm
(hit refresh a few times in Safari, or use a different browser)

For general principles on backing up customizations in Word in OS X, see
here:
http://word.mvps.org/MacWordNew/BackUpPrefs.htm
(hit refresh a few times in Safari, or use a different browser)
Thank you for your help.
You're welcome.

No. They must be in the first row, horizontally. You can open your file in
Excel and do a change columns to rows there. Do it on a copy of the original
file if you need to keep the original as is for any reason.

I don't think there have been any (or many) changes in Mail Merge from Word
X, though.

I agree.

Sorry - I didn't notice until I got to the "other" email response from Daiya
that this referred to Word 98 (is that right?) In that case, absolutely!
Mail Merge, now called Data Merge, was _vastly, vastly_ improved in Word X
and maintained in 2004. You do NOT want to use the Word 98 version (2001 was
worse because it was an unfinished version of the new Data Merge). Do this
in Word 2004.

Thank you to all of you for your help. This gives me some leads to
read about and work on. Yes, all of the merging will be done with
Office 2004 for Mac. I think it is GREAT that you all volunteer to
help others and do it in such a timely manner!
