Trouble with AutoText in a merge document

B

Bob Reynolds

I have a WORD document that uses the autotext formatting for an entry. I
need to make changes to it and when I do what the help files say, hightlight
it and save it again it appears that it works. When the merge takes place
the formatting hasn't changed. Any ideas.
Thanks

Are you changing the right autotext entry? An autotext entry of the same
name in the document template will have precedence over the one in
normal.dot.

If the autotext has been inserted directly by an autotext entry then it has
already been inserted and is now text. It won't insert the changes unless
you use an autotext field, and only then if you update the field after
changing the autotext content.

Thanks for responding. I have this as a statement in the document.
{ if {MERGEFIELD "ERLIST"} >="2" '{AUTOTEXT "Principal 2" \* MERGEFORMAT}"
""}
the next line contains the same thing but for Principal 3 and so on till 5.
I completely erased the autotext entries (names) and reentered them, I made
the changes to the autotext samples that I have and then went to the
autotext names and let them be changed to the new entries.
I thought since it looks for the autotext entry and I have the actual
autotext entry changed it would work.
I only want to put tow carriage returns to open some spacing up. Hope this
is clear.
Any ideas and how can i make it autoupdating?

thanks
Bob

When you have replaced the autotext content, reinsert the field from the
insert > field menu into the conditional field statement. Even though the
field looks the same, it needs to be reinserted to gather the new data.

{IF{Mergefield ERLIST} >= 2 "{Autotext "Principal 2" \*Mergeformat}"}

For some reason I have not seen explained, the only way to get an autotext
field to work consistently is to insert it from the menu.
