Two spaces between sentences

M

Montserrat

Hi,

I've lost track of the set-up where I default to two spaces between
sentences and I'm surprised that "Help" doesn't have that answer in a
search. At least I can't find it.

Thanks, Rafael

Preferences, Spelling & Grammar, Settings. Word won't type 2 spaces for you
but it will flag one space as an error in grammar check and let you Change
All when running Tools | Spelling & Grammar.

It can be a problem if you send out documents and other people work on them
and send them back, Phillip.

You're a creative mis-speller, Phillip -- I always enjoy reading your posts!

Hi Daiya,

I think there is a place where grammar check is programed (by the user) to
flag that one space as an error, but I don't remember and can't find where
that place is.

Right.

But also, when you say below "... it will flag one space as an error in
grammar check and let you Change All when running Tools | Spelling &
Grammar," I only have a 'Change' click that allows me to change one at a
time. I don't see a "Change All" click.

I may have misremembered on the Change All, or it may be an option they
added since Word 2001.

Change All, if it exists for this setting in Word 2001, would only be in the
Tools | Spelling and Grammar dialog, *not* on the right-click menu, I
suspect.

Hi Gang-

Just wanted to get in the game a little...

FWIW, the convention of typing 2 paces between sentences is a throwback
concession to the manual typewriter, and is not grammatically correct. The
technique was adopted out of necessity to improve readability of documents
prepared using mono-spaced devices. Modern technology (proportional spacing)
renders that improvised "fix" unnecessary since the problem, itself, no
longer exists. (The exception could be in the case of using fixed-width
fonts.)

If anyone is interested, one fairly concise commentary on the subject can be
found at

http://webword.com/reports/period.html

Although the article is dated 1999 it is quite valid and cites some
noteworthy authorities on the subject as it pertains to documents created
for both Web & Print production.

Bottom line, the practice is not only archaic, but can very well _detract_
from the readability of the document and create unnecessary formatting
issues. Oddly enough, some organizations (including the U. S. Government)
still have such protocol mandated simply because the time has not been taken
to update them... Just like the practice of pressing Return twice to get
space between paragraphs.

Ain't this FUN? |:>)

It's not just the government. Microsoft often puts out Word docs with
double paragraph marks!

Diaya,
Here's what it is

Tools | Spelling and Grammar:English(US) ý Options click ý Spelling Grammar
dialogue ý Grammar section below ý lower right click Settings ý Grammar
Settings dialogue ý go down to ³Require² space required between sentences ý
drop down menu with three choices, Œ1¹ Œ2¹ Œdon¹t check¹. Then, in word
2001, running the spelling and grammar check only picks up single spaces to
'suggest change' to fix to two spaces as the check goes along. There seems
to be no ³Change all². Too bad. But all I have to do is get used to adding
two spaces as I write, then it¹s time saved on the grammar check.

Hi,

Good website and good good FWIW. I'm told by professionals that a proposal
to a literary agent (and the book itself) should have two spaces. Actually,
I've also heard the one space dictum. I'm now going to the 'angels on the
head of a pin' newsgroup.

Thanks, Rafael
