Update duplicate documents stored as backup

Office 2003 Pro.
I have duplicate copies, of a document on my desktop, stored on an external
hard drive and on a flash drive as back ups. I generaly work on the desktop
copy and then replace the other files with the desktop copy. Can I update the
backup files in an easier way. I,m afraid I am a novice, so if anyone has the
answer please give a step by step description. That would be very helpful and
appreciated.
