URGENT: How to getresource usage summary by month by Task Outline

I am using resource groups and I want to determine the monthly effort for
each resource group by Task Outline #.

If I use WBS or Task Summary Name I can only pull the summary data at the
level that the work is assigned. How do I get it to roll up to the Task
Outlie #'s

I'm not entirely sure what you are asking here. I infer that your set
up is that you have individually named resources but that they are also
categorised by resource group.

I believe that you can see the work by individuals in both the resource
and task usage views but you would like to summarise the work by
resource group for each task.

If the above is correct, then you can do that by grouping. Go to the
Task Usage view and create a group by clicking Project/Group
by/Customise Group By.

Click the "Group assignments not tasks" check box. Then create a group
as follows:
- The first line has the Field Name "Name" and Field Type "Task"
- The second line has the Field Name "Resource Group" and Field Type
"Assignemnt"

This will enable you to view the work for each task by resource group.

Hello Frank,

Have you tried applying a custom group to the Task Usage view
instead of the Resource Usage view? Resource group is a field which
is available in the task usage as well as the resource usage. If
you create a custom group in the Task Usage view with the following
definition:

Group by:
Field: Outline Number
Field Type: Task
Order: Ascending

Then By:
Field: Name
Field Type: Task
Order: Ascending or Descending as needed

Then by:
Field: Resource Group
Field Type: Assignment
Order: Ascending or descending as needed

(You'll need to check the option "Group assignments, not tasks")

Thanks - that definitely helps some. The problem I have is that I have many
more roles than the Outline levels I am seeking information for. I have 5 or
6 outline levels versus 30-35 roles, so having roles broken out under levels
still presents a lot of manual work. Additionally, I would still like to be
abe to select the outline levels I want to report at rather than having to
scroll through any that have activity.

Is there any way to organize it by role and define what outline levels to
report on?

Hi Frank,

You may be able to get there with the original resource usage view.
Try adding a flag field (Flag1) to the resource usage view **after**
you have applied the group. Right click on the Flag field and
choose Rollup OR under the Calculation for Group or Summary rows.
Set to "Yes" the assignments you wish to view. Then, you can apply
an autofilter set to "yes" to filter out the assignments you don't
want to see.

I hope this gets you a bit closer.

Thanks again. I tried it but I can only select in the flag column in the
resource usage view at the tasks level and what I want to select is the
outline tasks level. I tried going back to the Gantt view and inserted the
flag column and selecting the appropriate outline level tasks but when I
switch over to resource usage view it does not carry over.

I am not doing this correctly?

Hi Frank,

I think I need to explain better what you are seeing when you look
at the Resource Usage view and then see if we can resolve what I
think you want to see.

When you look at the resource usage view, you see Resources and
assignments. The assignments are represented by the names of tasks
but they are the assignments created by pairing a resource with a
task. The outline level that you are referring to I am assuming is
the summary task levels. Because you should not be assigning
resources to summary tasks, the summary tasks do not appear in the
assignment list.

I created a custom group in the Resource Usage view with the
following definition:

Group By:
Field Name: Group
Field Type: Resource
Order: Ascending

Then By
Field Name: Task Outline Number
Field Type: Assignment
Order: Ascending

When I apply the group I see:

Resource Group Name Total Hours for the group
Task ID Task Name Total hours for resource on ID
Assignment Hours on assignment
Assignment Hours on assignment
Task ID Task Name Total hours for resource on ID
Assignment Hours on assignment
Assignment Hours on assignment

I understood you to say that you didn't want to show all Task IDs.
By adding the Flag field and setting the assignment lines to "yes" I
can then filter and hide any assignments as Task ID lines I want to.
You're correct, if I don't set all of the assignment lines to "yes"
the Task ID line still shows. But if I set all of the assignments
to yes then filter for Flag1 = "no" those TaskID and assignment
lines disappear.
