Using cross referencing to tables and figures

Hi,

Am writing my MSc thesis and am trying to get to grips with Word's more advanced functions. Although I can get word to create tables of figures and tables in the document, I cannot get the cross reference tool to show me a list of numbered tables and figures used elsewhere in the text - it is blank! - and so I cannot cross refer.

Is this because the tables and figures need to have a numbering system controlled by Word? I currently number each table and figure myself. Do I need to use a specific numbering system? Will Word number each table and figure and automatically update in fashion similar to paragraph numbering?

Trust all of this makes sense! Thank you in anticipation for your help.

Simon.

Hi Simon,

Yep, question makes perfect sense.

You can create bookmarks for the Tables that you have already numbered
(select text, Insert | Bookmark) and then use Insert | Cross Reference
and set Reference Type to Bookmark. If you just need to cross-reference
a couple tables and your thesis is basically done, this is probably easier.

To get the Insert | Cross Reference to automatically show you a list of
existing Tables and Figures (set reference type to Figure, etc), you
would need to use Word's numbering system. Insert | Caption will
automatically insert the Figure 1, Figure 2, etc, and update numbers as
necessary (you might need to Select All and Update Fields for them to
update). It is somewhat customizable and you can add your own caption to
each table. If you are still looking at a lot of editing and adding
tables that will force renumbering, etc, it's probably worth switching
methods.

Hello Simon -

If you use Word's Insert> Caption feature to create your captions they will
be available in the Insert> Cross-reference dialog, the numbering for Tables
& the numbering for Figures will automatically update, TOFs &TOTs can be
updated like TOCs, and options other than page number & item number will be
available as well when you insert the Cross-references.

Thank you for your response - not the first time you've helped and I am wondering if I should add you to the acknowledgements section of the dissertation!

I've followed the instructions you provided and it worked like a dream! Thanks.

I'm largely incognito here. ;-)

One of you fellow MVP's seemed to think I was implying something I
wasn't. They shall remain nameless.

If you felt I was implying something my apologies. :-(

I worked for a school system for 17 years as an Electronics Service
technician.

I ran into plenty of Ph.D's.

The first type let the title go to their head and demanded to be called
Doctor the first minute after the sheepskin was placed in their hands.
They tended to be highly Educated and knew their education details, but
were barely lucky enough to know how to open an umbrella, not too0 much
"horse Sense". Unfortunately these were the most I ran into.

The next type didn't want to be called Dr. They had plenty of education
sense, and they had good common sense. They took the title for what its
worth. You worked hard for but when it came down to it was just another
award , another piece of Paper.

and Finally there were some that didn't mind the title but were more
like the second type.

I'm quite sure your either the second, or third type. And I was doing a
poor job of joking around. :-(

Titles are all relative. You work hard to attain them. It what you do
with the knowledge that is important, not the title.

If you notice in my signature line. You'll notice there is a Title
C.E.T. I worked hard for it it stands for Certified Electronic
Technician. But I don't demand anyone call me anything other than
Phillip. I don't let the title go my head. Its something I worked hard
for , but now that I have been retired it does me no good other than a
distant fond memory.

Not at all, I immediately assumed you were joking. Not that I don't
wield the title when it seems useful. :)

Now that's totally something different. You must do what you must.
That's different, than using for just bragging rights!! :) (notice the
