Using "Sort" in outline view

I'd like to use the sort feature within the outline view. Basically, I want
to alphabetize a highlighted section of my document (a book of recipes)
based on what's in Heading 1. I'm sure that it worked one other time, but
now when I try to do this, it's splitting up things in weird ways.

My document has some sections at the beginning and ending that has a
"normal" heading. However, the largest bulk of the document (everything in
the middle 85%) has 1 of 4 heading levels. Heading 1 is recipe title,
Heading 2 is Recipe Ingredients, Heading 3 is Recipe Directions, Heading 44
is Recipe Source/Author. I obviously want the things in heading levels 2-4
to stay with the heading 1 that they belong with. Unfortunately, that
doesn't seem to be happening. It seems to be separating the Heading 1
levels from their respective 2-4's. I've already checked to make sure that
each component has has the correct heading style and they do. Some recipes
have graphics and text boxes, but I've already checked them to make sure
that they are locked and anchored to the paragraph.

Could it have anything do to with the how the Table>Sort>Options are set?
Separating fields by "tabs", "commas", "other"?

Am I making any sense?

What I want to do is similar to what's described at the following link:

Only I just need to do what's listed under "Answer: 2 and a"

Okay, I figured out what's causing it, but I'm not sure how to fix it.

I took a closer look at the collapsed (viewing only level 1) outline view.
Some of my recipe Titles (all titles are Heading 1) have the "+" symbol next
to them showing that the text under it is attached to Heading 1. Some of
the recipe Titles show the "-" symbol next to them--which means that they
supposedly have no subtext.

How to I make Word see that the Heading 2-4 under the Heading 1 does indeed
"belong" to it. I'm not seeing any difference in Normal view (with
paragraph marks showing) between those recipes that are showing "+" and
those showing "-".

Since I'm the only one replying to my post at this late hour anyway, I
thought that I'd add one more piece of information. My headings 1-4 are
modified based on the built in 1-4. I've modified and customized them and
use them off of the styles drop-down just like you would normally. I'm not
sure if there could be anything within my modifications that could be
causing this or not, but I thought I'd throw the information out there.

Still stumped as to what could be causing a "break" between Heading 1-Recipe
Title and the Headings 2-4 that should be attached to it. That's definitely
the problem though. And until I can fix this problem, I can't sort based on
Level 1 in my outline view.

Hi Michelle -

Sorry if you feel you're being ignored, but I can assure you that there are
probably several folks looking at the issue but have declined to respond
until they have something meaningful to offer:) If all is as you describe,
this is a particularly unusual occurrence. I've tried to force the behavior
& haven't been able to reproduce it... and unless you've seen it before it
can be difficult to analyze. Someone will come up with something before too
long - keep checking :)

Hi Michelle:

You are making perfect sense -- and Word can't do that!

Sorry, but you can't use SORT in Outline View. Because of the problem you
have noted.

Manually moving the sections in Outline View is the only practicable way to
do what you want.

You could, of course, convert the entire thing into a single-column table,
one row per heading. But you would have to manually move the Heading and
its associated text into each cell, then duplicate the column and remove all
but the heading from the duplicate column. You could then sort by Column 1
(the headings) and the associated heading and text in Column 2 would move
with the headings. You then delete Column 1 and convert the thing back into
normal text, removing the table. It's too much work...

Hi John and Michelle,

I've successfully used an alphabetical Sort in Outline View, but only
with a Heading 1 and attached text, viewing only Heading 1. I know that
for sure.

Perhaps it would be less work to temporarily set the Heading 2-4 paras
to body text (could be quickly done with Find and Replace), Sort, and
then reapply the headings (slow)? I would do this on a COPY.

However, I tried to do a quick test with both Heading 1 and Heading 2
text in my temp document, and to sort by Heading 1, and I think it
worked, moving the Heading 2 with the Heading 1 (though I'm not
positive). Are you viewing only Heading 1 when you do the Sort,
Michelle, so that everything else is hidden? Are there empty paragraphs
that may be interfering?

My Table | Sort Options are just to sort by Paragraphs, Type: Text,
Ascending.

I'm with you Daiya - I don't know if it's "supposed" to work, but it does
for me. In fact, It just so happens that I was working on an outline for a
new Photoshop CS3 class at the time I started following the thread and used
a copy of it as my guinea pig.

Headings 1,2,3 with Outline Numbering applied, what I did was:

Collapse to show Heading (Level) 1
Select All
Table>Sort using the default settings

The outline gets alpha-sorted based on H1 only, and all sub levels move
right along with them. The order of the H2 & H3 topics within each H1 is not
affected by the sorting.

I tried changing the formatting on some of the H1s, but it had no adverse
affect as long as the topic was still designated as Level 1. I've also tried
with only some H1s collapsed as well as with all levels displayed & the
result is the same - alpha based on H1 with H2 & H3 staying in their
appropriate grouping & order. I also tried the sort *without* selecting any
text but couldn't induce the behavior Michelle describes.

Like you, I'm wondering if there is something else about the structure of
the doc - such as the empty paras, soft returns, possibly even section
breaks - causing the problem. I wonder if any of the images are In Line as a
part of the problem H1s... perhaps there is a roadblock in trying to
"alpha-parse" a graphic?

Hi everyone. I wasn't feeling ignored, just frustrated at my own lack of
problem-solving in the late hours. By posting my own thoughts, it was
helping me to think through the problem. And it was filling everyone else
(who were sleeping peacefully) in what was and wasn't working for me.

I did find the fix for MOST of the pages. Some of the blank lines within
each recipe section had been given the heading of the section above or below
it. Thus, the 2nd line (blank line right below the title) had been given a
Heading 1 also. And since there was a return from the Title to the blank
line, it was treating it as 2 separate sections. Thus, it was saying that
the real Heading 1 (Recipe Title) had NO subordinate text and the
unintentional Heading 1 (the blank line) had the rest of the recipe as
subordinate text. I went through and replaced most of these blank lines
with a "normal" style.

This was happening not only at the beginning of some of the recipes, but
also on occasional blank lines within the recipe--those between the
ingredients and the directions, the directions and the source, or after the
source where graphics had been inserted.

Thus, when I sorted, it threw everything off kilter. This is actually a
Recipe Book that someone else is making--I'm mostly just helping her figure
out the layout and formatting. This is the same project that earlier in the
year was giving me fits because it was splitting the document into 2 PDF
files before sending to "Make a Booklet"--the heading/footer problem.

I only have about 9 pages (recipes) within a booklet of about 120 pages that
I still can't find out the problem. Outline view is still showing the
Recipe Title with a "-" instead of a "+" and I can't figure out where it
thinks the formatting is messed up at.

Now that I know what the problem was, the scrambled sorting results make
perfect logical sense! However, trying to FIND the problem took me all
night--I spent about 7-9 hours during the "night" searching the web for
anything that would help--nothing did. Just confirmed what the outline
SHOULD have looked like with the headings collapsed or uncollapsed. I just
ended up noticing the oddly placed heading levels that didn't fit purely by
accident.

I haven't attempted the sort yet, although very early in the project, I had
tried it and it worked. But that was when I was doing most of the
formatting with headings before I handed it off to the owner and we had a
LOT fewer pages at the time.

Now, if I can just crack the problem with these 9 pages, I'll be ready to
try the sort again. If anyone is feeling brave, I can send you the document
and give you the troublesome page numbers. But for now, it's back to
tackling these pages to see if I notice anything out of whack that I missed
before!

GOT IT! YEAH!

I figured out the glitches, sorted in outline, and everything worked
perfectly!

The problem on those last 9 troublesome pages was that some of my graphics
and text boxes had attached themselves to the Heading 1's--thus, they had
become a Heading 1 also taking over the rest of the recipe! I had to unlock
each text box/graphic, move them slightly to disconnect them from the Title,
and then relock them back in place.

Who would have thought this would have become so complicated! Of course,
now that I've run into these issues, they'll be much less likely to throw me
next time. And I'll know to be much more careful in how certain layers and
sections get formatted. I'll definitely know what to look for if the same
problem arises in the future.

Thanks for "listening" as I've worked through the issues. Hopefully my
problems/solutions will help others who want to do something similar.

One last issue--unrelated to my original problem. I can open the document
just fine. However, possibly due to the length (or possibly unrelated),
EVERY time I go to print so that I can save as PDF, Word crashes and gives
me an error window saying "Microsoft Word has encountered a problem and
needs to close. We're sorry for the inconvenience.", etc.. The document
will still open fine the next time, but it will then crash again when I
select Print so that I can try once again to save as PDF.

If I include the error log, can someone interpret it for me to give me an
idea of what might be causing it? It's all Greek to me. I even restarted
the computer after the first crash, thinking that with a new boot, memory
would be at it's best. No luck.

I'll go ahead and past the log below, but before I do, I did try one other
thing. I opened up the document, did a Print Preview first (worked fine)
and then clicked the print button--hoping that it would send me to the print
dialogue box so that I could select save as PDF. Unfortunately, doing this
bypassed the print dialogue box and began saying that it was printing pages
1-x. Since I didn't REALLY want to send 113 pages to my printer, I hit
cancel. However, if it let me get this far in an attempt to print, why
would it only crash when trying to pull up the Print Dialogue box?

Trying to open the document and "save as" with new name causes the crash
also. It will open, just wouldn't allow the "save as". I suppose that I
could open, select all, and copy/paste into a new document. But that's a
little scary given all of the formatting that's in the document. Would that
really catch everything?

Glad you sorted it, and recording in the archives will probably help
someone in the future.

Just by the way--there should not be any "blank lines" in Word, as they
are really empty paragraphs, and as you saw, empty paragraphs throw
everything off. Better to delete all the empty paragraphs and instead
modify the Heading styles to include Space After or Space Before for the
preferred look.

Any ideas on what I can try? Unlike Richard in his post, I have NOT applied
any updates to MS Office or to my system. I believe that I ran repair
permissions before I restarted the computer to try "print>save as PDF" for
the 2nd time.

haven't "fixed" the original crash problem.

I did go ahead and copy/paste everything from the original document into a
new document with the same margin/page formats. This new document WILL let
me Print>Save as PDF.

At first glance, it appears that everything copied/pasted okay, but with 113
pages to search through, I haven't looked at everything in detail. Are
there any kinds of things that I should look for that may not have
successfully pasted? Are there any types of formatting that won't make it
through a copy/paste?

You should be OK. Copying all but the very last paragraph mark into a
new document is a time honoured trick for eliminating some forms of
corruption from a misbehaving document.

Depending on how broken the original is, you might try 'compare
documents' from Tools » Track Changes. You get all the differences
between the two highlighted according to your track changes prefs.
Work on a copy of your new good one.

The trick works because each paragraph mark hides formatting and other
data for its paragraph. The last one collects all kinds of nastiness
that won't fit in the others, as well as stuff that applies to the
whole document. Somehow that mess is more likely to get corrupted than
the rest of the document. Losing it is like giving it a fresh start.

I didn't know about that last paragraph mark information. I just selected
all and copied/pasted. It must have worked at least semi-okay, because it
did allow me to print>save as PDF--unlike the original one did.

I've sent a copy of the 2nd version (pasted version) of the document to it's
rightful owner. She's supposed to look over the document to see if anything
looks like it was messed up or altered. If it looks good to her, we'll
probably leave it as is. If she notices something, I can always try the
"compare documents" idea.

Thank you for the information about excluding the last paragraph mark--that
may come in handy in the future.
