Viewing Project-Related Documents in PWA

Tracie

Hi,

I have a group of people who actively upload documents to their projects in
PWA. With each of these projects, there are many people listed as team
members (Build team from enterprise function) but typically only a handful of
these people are ever assigned to tasks. The people who are assigned to the
tasks can view the documents in PWA; however, how can the other team members
view the documents?

A simple approach is to create a dummy task and assign these team members to
a token amount of work, such as 1 hour. Hope this helps.

Hi Dale,

Yes, I've thot of that. I was hoping there was a "cleaner" answer. I don't
like the idea of cluttering up people's timesheets in order to enable this
function. Is this truly the only way? I guess I would have thot that any
person associated with a project would have viewing rights to the documents.

There is a more complicated way, which would be to manually add these users
to the SharePoint subweb. I gave you the simplest solution, even if it's
not the cleanest solution. Hope this helps.

2 alternatives:

1) If it is a static list of people that need access to all the
projects to view documents, put them in an appropriate Cat. (like
Executives) that can view all project documents.

2) If you go the "assign dummy task route" you can mark the Booking
Type as Proposed on the resource sheet view (will most likley have to
insert the column). Then you can publish new and changed, but the tasks
won't show up on their time sheet but they SHOULD still have access to
project docs.
