What is the grey circle/ball next to the from address?

The circle ball is the Instant Messaging Presence indicator.

Example: We use the Live Communications server in our
company for Instant messaging. We also use Exchange Server
and Outlook as our client. When I am using Outlook, if I open
a message from someone in my company, the ball will show me
GREEN if that person is on line.

If you do not use the IM you should turn this feature off on your
Outlook program. By having it on, Outlook uses alot of resource
trying to connect to an IM server to see if that person is on line.

1.. Turn off "instant messaging" Q290025 (See quick instructions below)
2.. Uncheck all planner options per article Q324374

Remove the link between Outlook 2002 and MSN Messenger, perform the
following steps:

1. Start Outlook.
2. From the Tools menu, select Options.
3. Select the Other tab.
4. Clear the "Enable Instant Messaging in Microsoft Outlook" check box in
the Instant Messaging section, then click OK.
5. Close and restart Outlook for the change to take effect.

a.. Turn off the Show Popup Calendar Details option or the Show Calendar
Details in Grid option.
