Why are my outgoing mail messages suddenly timing out?

The messsages are around 25 kb or so, just a few paras of simple text with no
attachments. Settings have not changed, but suddenly MS Outlook cannot
process them to the SMTP server. (It will process smaller messages of 5 or 6
kb without difficulty and for past 2 years has processed all msgs regardless
of size). My ISP says nothing is wrong with the server - problem is on my
machine. Where do I look? What do I change? Increasing the timeout rate to
2 minutes or even 5 minutes has not helped. I am using MS Outlook 2003 SP2
and Win XP SP2. Similar problem exists with Outlook Express using the same
account.

Disable the e-mail scanning in your anti-virus software.

Do not describe or paraphrase an error message. Copy and paste it, or
transcribe it word for word in your post. Just because you don't
think some info in the error is important doesn't make it so.

not? That was actually the entire error message?

What other software do you have installed that might interrogate mail
traffic? Anti-spam software? Anti-spyware? Firewall?

You could try starting Outlook in its safe mode ("outlook.exe /safe").
If the problem goes away, a plug-in is causing the problem. If that
doesn't help, try rebooting Windows into its safe mode (with
networking) to see if the problem goes away. If so, you are loading a
program during a normal boot that is interrogating and delaying
delivery of mail traffic (commands or data).

Lastly, you could enable the troubleshooting log in Outlook to see
when the timeout occurs. You would enable logging, disable all
accounts except one, exit Outlook, delete any old %temp%\opm.log file,
start Outlook, and poll just the one account (as too many concurrent
account polls can be confusing as to which command is for which
account).

Depending on whether you are using DSL, cable, or dial-up, there could
be noise or loss on your Internet connection. The more packets that
have to be retried, the more the effective delay to receive the entire
transmission. See if you can ping the mail host or the domain for
whomever is your e-mail provider. If they don't respond to pings, go
ping somewhere else, like "ping -n 20 www.yahoo.com". The default of
4 pings is not sufficient to give a good indication of packet loss but
20 should do. See what it says for percentage of lost packets.

Correct - the error did not identify the mail host. You got the complete
error message. My connection is cable.

I have no anti-spam or anti-spyware. There is a firewall on our router but
no changes to that recently and mail on our other computer works fine. I
installed an anti-spyware a few days ago, but have since uninstalled and
restored to back before the installation. My anti-virus is AVGFree which
normally is configured to NOT check outgoing mail. It was turned off
altogether for all these tests that I have done, though I notice it appears
in the log file (follows), and seems to invoke a proxy server, which may be
the problem - though that would not have occurred when I was in Windows Safe
mode?

Tried Outlook Safe mode, with no luck
Tried Windows Safe Mode with no luck.
Pinged Yahoo 20 times with no lost packets, Turnaround max 70ms, min 47ms,
avg 53ms

Have a log file as follows (there was one other account that I thought I had
disabled - eallard or Ed&Louise). Account you want is Allfam. Appreciate

You start with a POP session where you authenticate using your login
credentials to your account. You send a STAT command to see if there
are any messages in your mailbox. The server has no concept of
new/old or read/unread messages. It just knows whether or not there
are messages in your mailbox. Your e-mail client tracks what it has
downloaded before to know what is old and new. The server said there
was 1 message in your mailbox so you retrieved it. Supposedly you
received a new e-mail during the mail sessions covered by this
logging.

Immediately after that 1st POP session started a 2nd POP session.
Zero was returned by STAT from the server meaning there were no items
in your mailbox so you aborted that POP session. I have to wonder why
there even was a 2nd POP session that stated within 1 second after the
prior POP session completed.

QUESTIONS: Do you have multiple accounts defined in Outlook? If so,
do they point to the same mail hosts? If so, do they define the SAME
account in TWO accounts?

After the 2nd (and seemingly useless) POP session, an SMTP session
starts. Because you did not configure your e-mail client to
authenticate to the SMTP server, the login credentials from the prior
POP session get reused. The 2nd POP session ended at 21:40:35 and the
SMTP session started at 21:41:41 which is more than 1 minute apart.
To me, that seems too long to be reusing the POP login credentials in
an assumed same-session startup for the SMTP session; however, I'm not
familiar with how long SMTP servers will wait to reuse the same login
credentials. I believe that is configurable by the admin of the mail
hosts.

QUESTION: Have you tried configuring the e-mail account in Outlook to
have it authenticate to the SMTP server?

The reused credentials seem to work, however, since you do get
authorized to the server. In that SMTP session, you tell the server
that you have a message to send and to whom you want to send it. You
send the DATA command to tell the server you are ready to send the
content of your message, the server responds that it is ready to
accept your data, and then the server waits to get some bytes from you
for the content of that message. That is where the timeout occurs.

QUESTIONS: Did you actually try to send an e-mail during this logging?
If so, how big was the message?

Just over a minute after the failed SMTP session ends, another SMTP
session starts. It needs the login credentials this time so it does a
dummy POP session to get them. This wouldn't be necessary if you
configured the e-mail account in Outlook to authenticate to the SMTP
server. That 2nd STMP session also has the server timeout waiting
from bytes to come from you after you issue the DATA command.

So something is definitely delaying when your e-mail client starts
sending the bytes for the content of the e-mail after it has sent the
DATA command (and after the server replies that it is ready to accept
those bytes).

QUESTION: Have you yet tried to uninstall AVG and then check if SMTP
works?

Just because you disable an e-mail scanning function in an anti-virus
program does not necessarily fix the problem. The mail traffic will
still go through the proxy for the anti-virus program. Disabling
e-mail scanning only means that the proxy won't interrogate that mail
traffic (which also delays its delivery from you to the server). If
that proxy is fucked up, disabling it won't fix it. I saw the same
thing with Norton and CA anti-virus programs: their proxy goes screwy
and they continue fouling the SMTP session until you uninstall and
reinstall their product.

My suggestions are:

- Configure the e-mail account in Outlook so it authenticates to the
SMTP server.

- Uninstall AVG. Then reinstall it but do a custom install and do NOT
install the e-mail scanning module.

I don't know why there were 2 POP session in a row against the same
account unless you have 2 accounts defined in Outlook that go to the
same mail hosts and are for the same account. If that is not true,
possibly your mail profile is corrupted. Use the Mail applet in
Control Panel to create a new mail profile. Then use the new mail
profile, define your account(s) in the new mail profile, and check if
the SMTP problem remains.

That timeout setting has nothing to do with how long the server or
your client waits for a response from a *command* that is has sent to
the other end DURING a mail session. It has to do with how long the
client will wait for the server to ESTABLISH a mail session. You are
establishing the mail sessions so that timer doesn't apply. See my
prior post and answer those questions.

I am currently having the same problem with my computer.

I am from UK and my provider is ClaraNET. I've tried using their SMTP
server and even though I can send e-mails that are slightly bigger
than 25k, the same thing exactly happens to me.

I have tried using my Gmail account with Gmail's SMTP server and I can
send e-mails without and problem, regardless of size. Still, if I use
my ISP's SMTP server I cannot send anything above like 200kb.

I do not have an antivirus scanning outgoing e-mails, the firewall on
the PC is disabled (I have a router with a firewall, but again, all
outgoing traffic does not go through it) and I have no other software/
hardware that scans/does anything with e-mails.

I've tried different timeouts etc, it's no use. I've also tried
running both windows and outlook in safe mode as suggested, no use
either.

I spoke with my ISP and they say they can see no problem in the lines
whatsoever.

I've tried connecting a different PC to the same router and doing the
same, again, it works with Gmail's SMTP not with my ISP's SMTP.

I've even tried taking my PC to another person that has the same
provider as I do and does not have this problem and doing everything
all over again, only to find out the results were the same: I cannot
send e-mails larger than 200kb.

I've also tried changing the router and the network cards, just in
case they were behind the problem, no use.


I'd appreciate some help.

Hijack? Have you not noticed that he's having exactly the same problem
I'm having? If we can help eachother out why should we not?

Everything that I have tried and stated there has not worked for me.
That might give him some ideas of what to avoid doing because it
simply will not work, therefore saving him, and hopefully you as well,
a lot of time.

Also, if someone comes here by searching some random string on the
internet, just like I did, don't you think it would be better to have
all the information on one thread only rather than spread it
throughout 10 different threads?

What if tomorrow I find the solution to my problem and it happens to
be the solution to his problem? Should I not report my findings
because I'll also be hijacking the thread?




PS: Nothing in my situation has changed, it's pretty much all the same
still.

What I would suggest to him to rule out a problem with the computer is
do the same I did... Either take the computer to someone that has the
same ISP as you or connect another PC to your router and try the same.
Might save you having to format the disk...

I've been a long-time user of AVG Free until it started blocking
access to some games with false positives. The paid version of AVG
lets you add them to an ignore or trusted list. The free version do
not. This is the first free anti-virus program that I've used where
the user could not circumvent a false positive by using an ignore
list. The result is that you either don't get to use the falsely
accused executable (because AVG Free will block access to it) or you
go hunting in their forums for an e-mail address of where to send the
file (because their free version doesn't have a reporting function)
and then wait until *maybe* someday they get around to updating their
signature database. I wasn't going to wait that long and have other
choices for anti-virus software where I can work around false
positives. However, even when I did use AVG Free, I *never* included
the e-mail scanning module during the install.

In my case the problem lied in the configuration of the router. My ISP
was upgrading the lines to ADSL2+ and changed the IP addresses even
though I was on a fix IP address. Obviously the router was only
configured to work through that IP address. Strange part is I was
still able to both access the internet and send e-mails up to
something like 400kb without any problems, though my pings (to
anywhere really) were really irregular.

Also strange in your case is that, if the problem lied in AVG, how
come size mattered? From what you said sometimes just a normal text e-
mail with no attachments would not get sent if it was above 25kb... I
suppose it would be normal for AVG to interfere only with e-mails that
had attachments, not e-mails without.
