Word 2007 Envelope will not print Company name

When I click on Mailings and then Envelope and select a contact from Outlook
the name prints out last name, first name and the Company does not print. How
can I change the standard envelope template to correct this???

Thanks for your help but after reading the article you suggested I am still
confused. I am basic business user, not a programer, and it seems nuts to me
that Microsoft would design a program that did allow a simple way to
automatically have a contact's company name included when you address an
envelope to them. I never had this problem with the old Word and it appears I
made a huge mistake upgrading. Thanks again for your efforts to help.

Word does have a simple way - by using the AddressLayout autotext entry
detailed in the link. It would have been exactly the same in the previous
version of Word and the ones before that.

Copy and paste the following to a document

{<PR_GIVEN_NAME> <PR_SURNAME>
}{<PR_COMPANY_NAME>
}{<PR_POSTAL_ADDRESS>}

Select and press ALT+F3 to open the autotext dialog

In the Name box type

AddressLayout

(all one word). In the Gallery box select 'Autotext'

In the Save in box select normal.dotm

leave everything else at the default settings

Click OK.

I read through the section you recommended but could not figure out where in
Word I am supposed to be when I press Alt F3. As I mentioned I am a DA on
this stuff and maybe you could recommend one of the better books or manuals
on Outlook & Word 2007 that I could buy to help educate me.

I don't know how to make it simpler than

"Copy and paste the following to a document"

Any document! It's only a means of transferring that text to an autotext
entry.

Open Word and paste it to the blank page. Select it and create the entry as
previously described.

I tried just what you said but it did not seem to work. I told it to save in
Normal and then it asked if I wanted to change the Building Block entry and I
clicked yes. Then I went to Mailings, clicked on the Envelope tab then
selected a contact from the Address book and when it populated the address
block it still did not include the company name. I tried shutting down the
program and starting again and it still did not work. Any ideas?

Did you type the name AddressLayout as all one word?
Did you set the gallery to Autotext?
Open the building Blocks organizer and check. If it is not entered in the
right place it will not work. You can make changes from that organizer.
As an alternative you could download the envelope templates from my web
site. These are automated to insert Outlook data - c/w the company - using
the code from the page I referred you to earlier, when you create a new
document from them. The envelopes are #10 size. If you use some other size
change the page layout as appropriate.

I double checked to be sure I had entered everything as you suggested and I
had. In testing I found out a couple of things that may be helpful to others.
I noticed that if I opened a new document and clicked on the Address Book
Icon to select a contact the results showed the name, company and address as
it was supposed to according to your template. However, when I went back and
clicked on the Mailings Tab then Envelope and then clicked on the Address
Book Icon to select a contact the results that showed up on the envelope did
not contain the company name and it was obviously using the original old
template. The work around I came up with was to open a new document select
the contact and then copy the results and paste it into the envelope form.
Seems nuts that Microsoft would make what should be a simple matter so
cumbersome. The other thing I discovered is that if I used just one field
<<AddressBlock>> instead of the multiple fields in your template the results
printed out the contact’s name (including Salutation), company and address.

Glad you have a solution if it is not entirely to your satisfaction. It was
a deliberate choice to use separate fields in the template because the
addressblock field does not always work well in countries outside the USA,
whereas the individual fields always do.
